Contingent Newsletter 2 - February 2016

This is the 2nd newsletter for the Australian Contingent attending the 21st New Zealand Jamboree in2016-17. You are receiving this newsletter as you have expressed an interest to me by email to join the Australian Contingent. The newsletter will also be published on the contingent website. I recommend you also read the first newsletter on the website. The Australian Contingent will depart Australia on 26 December and, after 3 nights in Christchurch travels to the 21st New Zealand Jamboree on 29 December 2016. The Australian Contingent will depart the Jamboree site on the afternoon of 7 January 2017, returning to Christchurch for 1 night prior to returning to Australia on 8 January 2017. Those attending the South lsland Post-Jamboree Tour depart the Jamboree site on 7 January and return to Australia on 15 or 16 January 2017. Some of these details are yet to be finalised.

Australian Contingent Fee The Australian Contingent Fee is $3040 for Scouts and $2620 for Venturers, Rovers, Leaders and Adult Helpers. The difference is that those in support positions do not pay towards the cost of activities. Notes on the Contingent Fee: The Australian Contingent Fee includes an international airfare allowance of $800 from the 3 eastern mainland state capitals. Please note that this is only an allowance as airfares fluctuate. The Australian Contingent Fee does not include a price for domestic fares from other parts of Australia. Domestic airfares will be notified when available and will be additionalto the Australian Contingent Fee depending on the departure location. The Australian Contingent Fee includes. lnternational airfare (please note the above comment about this) 2 Contingent polo shirts 2 Scouts Australia lnternational Scarves and '1 Gumnut Woggle Name bar Contingent badges for swapping Kit Bag Back Pack (still under consideration). Travel lnsurance All meals and accommodation including the 3 days in Christchurch prior to the Jamboree (This is compulsory). Jamboree Fee including meals, activities and troop incidentals Contingent administration expenses, freight, postage, planning, equipment hire and purchase.

The Australian Contingent Fee does not include:

The Post-Jamboree Tour Cost of obtaining a Passport. Australian Passports must have at least 6 months validity as at 26 December 2016. Spending Money Domestic airfare (which will be arranged for you and cost notified) Transfers in Australia to and from home to domestic/international airports. For example if you live in the ACT, your own or ACT group arrangements are to be made to and from Sydney an extra cost.

Travel The Contingent uses a Group Travel Provider. The advantage of this is that an airfare deposit is paid upon booking and the balance is paid one month prior to the date of travel. Name and flight changes are permitted during this time, sometimes an extra fee is payable. This is standard practice for Australian contingents travelling overseas. Regular internet specials come with many restrictions. The main ones are that airfares are paid in full at time of booking, no name or flight changes are permitted and there are no refunds except on medical grounds following approval by the travel insurance provider.

The Contingent Management Team will work hard to try and obtain the cheapest fares possible. This also depends on the number of applicants that have paid their Australian Contingent Fee deposit by 31 May or even earlier if possible. This deposit will be $1000. A full schedule of payments will be detailed in the online application and will be visible once a copy of the application is printed. ln order to achieve the whole Contingent arriving in Christchurch on 26 December, some travel may be required Christmas day and extra accommodation in one of the 3 eastern capitals on Christmas night. The Contingent Fee does not cover the cost of the extra accommodation.

lndependent Travel lndependent Travel is not encouraged but will be assessed on a per case basis. For example if an applicant is planning a family holiday prior to or after the Jamboree, this is usually approved. Or it may be that an applicant may have relatives in New Zealand and a visit will occur before or after the Jamboree.

There is usually no requirement for contingent members to travel to New Zealand prior to the Jamboree.

Registration of Interest and Online Application System The Contingent will utilise the New Zealand Online Event Management System (OLEMS) which is similar to the system used for Australian Scouting events. lf you have not already done so, please follow the below steps below to register your Expression of lnterest on the OLEMS:

Welcome, you have nearly completed setting up your account 'for NZ21 . The final set step is to activate your account. Once you have activated your account it is importani that you complete at first page of your Expression of lnterest form to ensure that your Expression of Interest is recorded. Once Applications open you will be able to use this same account complete your application, so don't lose your username or password. Please do not use the above activation link after your account has been activated, rather always go to the main site, http://applications.jamboree.org.nz and then click on the 'Registrations' menu option. If you are have any problems, please contact the Registrar at [email protected]. nz.

Applications and Payments You will be notified when applications are due to open (currently the end of March). Do not misplace your registration details that you created on the New Zealand online event management system as you will require them to make your online application.

Applications close to Australian applicants on 31 May 2016. Further applications will be accepted depending on the availability of airfares. As time passes it becomes more difficult to place Scouts into New Zealand Troops. Applications prior to the due date are certainly encouraged due to the possibility of a cheaper airfare being achieved, but this is not guaranteed. Eligibility criteria has been publish on the Contingent Website. All applicants must meet that criteria by 26 December 2016. All applicants will be subject to a referee process and discussions will be held with each applicant's leader in the case of a youth member or line manager in the case of adults. lt is very important that all Scouts applying to join the Contingent including other approval requirements, must meet the badge and nights camping requirements. For applicants under the age of 12 %, lhe applicant's maturity and readiness will also be discussed in detail with their Ieader. Only leaders and line managers will be asked to provide referee comments. lf that person is a parent of a youth member attending, another person will be approached. We ask if leaders or line managers have any concerns about an applicant's ability to join the Contingent that contact be made with the Contingent Leader as soon as possible.

Scouts, Leaders, Venturers, Rovers and Other Adults Priority for leaders to attend the Jamboree within a New Zealand Jamboree Troop will be given to Scout Section Leaders. Leaders, Rovers and Other Adults from other sections may still be placed into a Troop (depending on experience) but are encouraged to apply and assist with the Jamboree activity program which is always short of leader support. Venturers and Rovers join the Youth Services Team assisting with activities. New Zealand Troops contain 36 Scouts, 6 Leaders and up to 4 Activity Leaders. Activity Leaders are in to the Troop for accommodation purposes only. Other activity leaders camp in the Staff Camp. Please read the eligibility requirements page on our website for further information. Please also note that we are the Australian Contingent and not individual contingents from our state and territories.
