CONTACT INFO The 24 hour Front Desk is your first point of contact; they are available to assist you and act as a liaison with the various departments of the building. Student Housing and Hospitality Services would like to extend a warm welcome to all resident students. We know that coming to live in residences for the first time can feel overwhelming at first ; that’s why our number one priority is to make the transition as smooth as possible. MCGILL ID CARDS www.mcgill.ca/students/servicepoint

Your McGill Student ID Card is proof that you are a registered student at McGill, and you’ll need it to use the most essential services on campus, including the library, athletics facilities, residences, and dining halls. You are required to carry it with you at all times while on campus and you will need it to access the lobby turnstiles. To obtain your Student Card please visit Service Point: 3415 McTavish Street 514-398-7878 Weekdays August 21 - September 8 extended hours of service: 9am to 5pm Move-In Weekend (Aug 26th & 27th) hours of service: 8am to 4pm on the Saturday. 8am to 3pm on the Sunday. Closed on September 2nd, 3rd, and 4th. Starting on Monday, September 11th Service Point will return to regular hours for the

remainder of the academic year which are: Monday to Friday 10am to 4pm Wednesdays 10am to 5pm In order to receive your student card you have to be registered for at least one Fall term course, and you will need to bring along your: 1.McGill ID number (found on your letter of acceptance) 2.One piece of valid government issued photo ID 3.Documents proving your citizenship status here in Canada, if you have not already emailed them. ROOM INFORMATION ROOM INSPECTIONS The accommodations team will be coming through the building at various points throughout the academic year. We will be entering your room to inspect the health and safety of your belongings and the condition of your room. Should we find that the living conditions in your room are not acceptable we will provide you with a warning and provide a time frame to address the health and safety concerns in the warning. Should you not respond to the warning within

the time frame provided, we will move forward to address and alleviate the concerns at your cost. You will be advised one week before each inspection. At no point should large extra pieces of furniture be brought into your room. Large furniture such as desk, dressers, couches or tables could be potential firehazards. Please check with the residence beforehand to obtain approval.

Along with this memo, you will receive a Room Condition Report to be completed and returned to the front desk within 72 hours of your arrival. Failure to complete the report may result in damage charges being assessed at the end of the academic year for which you are not necessarily responsible. Students in double rooms will fill in and submit one report signed by both roommates. The completion and accuracy of

the RCR avoids any confusion next April, when another room inspection is conducted. If urgent repairs are needed, please indicate this on the RCR and place a work order with the Front Desk. In the event that you switch rooms in Carrefour Sherbrooke or move to a different building, an inspection of your room will be done with you and your roommate at the time of your move.

PHONE AND INTERNET Internet connection and wi-fi is part of your resident rent charge. Telephone service is not provided by McGill.

Students may purchase phone plans from an independent mobile service provider or use pre-paid calling cards.

BATHROOMS As bathrooms are inside your leased space, cleaning them is your responsibility. Make things easier on yourself by cleaning regularly!

AC/HEATING UNITS ROOM KEY CARDS Upon arrival, each student will be given a room key card. Over the course of move-in weekend (August 26th and 27th), if you lose or demagnetize your card; you may come to the Front Desk and get a replacement at no charge. However, as of August 31st, should you lose or damage your card, there will be a cost of $10 for a replacement. The cards are

issued by the Front Desk and accepted methods of payment are cash, interac or credit card (VISA, Amex, and MasterCard). If you lock yourself out of your room, you may come to the Front Desk for a $5 one-shot lock out card, again payable by cash, interac or credit, again the charge for lock outs will commence on August 31st.

PEST CONTROL If you suspect the invasion of any critter, please report to the staff at the front desk. Be aware that good looking furniture sitting by a curb, although free, may be infested. Likewise with furniture bought from classified ad sites such as Kijiji or Craig’s List pose the same risk. Please do not bring these things inside the building.

Please advise the Front Desk if you have any problems with the AC/heating unit in your room. Before concluding that your unit is in need of repair, make sure it is free of any obstructions, since this will affect the distribution of the cooling/heating.

Remember to always close your windows during the cold weather, if you are leaving for an extended period of time.

DECORATING This will be your room for the next eight months, so you should make it your own. Just remember, instead of using duct tape, double sided tape,

nails or hooks, you should use Scotch Tape or other nonmarking adhesives to avoid damage to walls and doors.

If you suspect you have bed bugs, don’t hesitate and contact your floor fellow or our front desk staff. This is VERY important as to avoid contamination. A protocol is in place in order to avoid the spread of the bugs. Contacting us is key, so don’t hesitate!

POLICIES SMOKING POLICY ffQuebec Law prohibits

smoking in all closed areas of educational institutions. All McGill buildings are non-smoking. This includes electronic cigarettes, also known as E-Cigarettes.

in their room, in corridors, stairwells, common areas or anywhere else inside Residence buildings.

outside, at least 9m from any door leading into a McGill Building. Out of respect to building occupants, smoking is not permitted near any windows surrounding McGill buildings.

GUEST POLICY Guest Sign-In Policy: ffAll guests must present a

Front Desk Staff, Security and Residence Life Managers have the right to refuse guests if any of these conditions are not met, as well as others including reasons of security and building capacity.

FIRE SAFETY In the event that a fire alarm is sounded, all students must evacuate the premises immediately. Please use the exit closest to your room. Residents must leave the building and wait outside until fire officials indicate that it is safe to return to the building. It is a serious offence to tamper with and/or cause damage to fire safety and prevention equipment (including but not limited to smoke detectors, fire hoses, pull stations, sprinkler heads, fire extinguishers, emergency lighting, breaker switches and fire exit doors). Doing so places lives in danger and will not be tolerated. Residents who tamper with fire safety and prevention equipment: ffface an immediate $250 minimum fine and disciplinary action. ffare financially responsible for

DELIVERY POLICY To ensure your ongoing safety and security, persons making deliveries (pizza, groceries, etc.) are not permitted to enter the building past the lobby. This is where you must meet your delivery person. Furthermore,

the Front Desk staff cannot accept deliveries of any food items on your behalf. DON’T FORGET if you have not given a number to your delivery person, they cannot call you to come down.

Early arrivals: The Mandatory Residential Meal Plan is effective as of Saturday, August 26; if you are moving-in before the weekend, please consult the Summer hours of service to know which food service locations are open: www.mcgill.ca/foodservices/locations/hours-service. Cash and Interac are accepted. Get your McGill ID in order to have your Mandatory Meal Plan activated: One of the first things you should do is go to Service Point to obtain your McGill ID card. Once your card has been processed, your Mandatory Meal Plan will be activated within 24 hours after that time. After that, you’re good to go! If you have any issues with your card, return to Service Point to have it resolved.

oneCard is a taxable account that is added to your McGill ID card, allowing you to make purchases and easily access multiple services on campus without the hassle of carrying cash and debit/credit cards. Help us keep costs down and refrain from taking dishes, cutlery, and glasses outside of the dining halls. Dishes, cutlery and glasses belonging to the cafeteria must remain in the dining hall. Those caught with the aforementioned items outside of the dining hall can face penalties or charges. BUILDING INFORMATION COMMON AREAS AND KITCHENETTES

CORRIDORS AND STAIRWELLS The City of Montreal Fire Prevention department requires that corridors be free of clutter at all times for obvious safety reasons. Clutter includes: garbage bags, shoes, boots, mats, coats, boxes, luggage, recycling bins, and other personal items. Any found items will be removed. In winter, please keep all boots inside your room.

Any graffiti on your room door is your responsibility. You will be given a notice and deadline to clean it off. If it is not removed by that date, we will proceed with either cleaning or painting the door/frame and you will be charged. No further notice will be issued.

MAIL & PACKAGES: Over the next year Carrefour Sherbrooke will be your official postal address. All mail and packages delivered to your residence will be accepted and kept at the front desk until you are able to pick them up. In order to receive your mail and packages be sure to include the correct address, with your name and ROOM NUMBER. Anything not clearly indicated on the item may be returned to sender. Any packages coming in with duty fees will also come with a notice for payment. Please talk to the front desk if you need to make arrangements for pick up. There are screens at the front desk that will display which rooms have received mail or deliveries. Please note to check with the front desk daily.

The common areas are fully furnished for your use and comfort. Please respect your fellow residents by leaving the common room furniture where it belongs. The kitchenettes located on the 5th, 7th, 9th, 11th, 14th, 16th, 18th & 20th floors and are for everyone’s use. These spaces are communal so be considerate towards your fellow residents and the cleaning staff. In order for us to keep the area sanitary, we request that you remove your Tupperware (food storage containers) and leftover food

from the kitchenettes after each use. Any dishes found by the cleaning staff will be disposed of. Please do not leave food or dirty dishes in the cupboards in order to avoid pest problems. All electrical appliances (i.e. toasters, blenders, etc.) must be used in the kitchenette areas only. We strongly encourage you to recycle any cans or bottles you may make use of while in the kitchenette. These rooms are shared spaces, so please respect them by cleaning up after yourself.

BUILDING SECURITY We are committed to providing you with a clean, comfortable and safe residence environment, but we cannot do it alone. We need your co-operation! If you see people in the building who do not belong here (including people handing out flyers in the hallways), or notice any vandalism, please report it to a staff member as soon as possible.

Security staff provide on-site presence at night. You will recognize them in blue McGill polos patrolling all areas of the building, inside and out, as well as administering the sign-in process. Please help them by notifying them immediately if anything out of the ordinary is happening.

GARBAGE AND RECYCLING There are 2 large garbage containers on every floor next to the elevators. In every common room there are also recycling drawers in the kitchenette please use them for indicated materials only. In your rooms you will find a blue recycling bin for recycling. These bins are the property of Carrefour Sherbrooke and must remain in the rooms at the end of the year. It is essential that you rinse out all containers, cans, etc. before placing them in recycling. Different municipalities have different recyclable items. The following items ARE recyclable in Montreal: 6

Paper, newspaper, packing paper, magazines, envelopes (even with the windows), thin cardboard packaging (i.e. cereal boxes, shoe boxes, etc) paper bags, cardboard, books, egg cartons, toilet paper rolls, aluminum (pop cans, pie plates, etc), glass bottles and containers of all colors (even with the labels still on), milk and juice cartons, drink boxes, plastic containers (shampoo bottles, food containers, plastic caps), plastic grocery and shopping bags (remove your receipts!), dry-cleaning bags, bread bags, plastic/cellophane wrapping from dry items (i.e. toilet paper).

The following items are NOT recyclable: Styrofoam, plastic/cellophane wrapping from food, wood, nails, porcelain, ceramics, electronics, flat glass (i.e. mirrors), light bulbs, chip bags, cereal bags (from inside the box), paint tubes or cans, toothpaste tubes, photo paper, all no.6 plastics. There are large garbage cans in the service elevator area. Please empty your room garbage into these on a regular basis to avoid odour or pest issues in your room.

In the event of a building maintenance emergency such as a toilet flooding, broken windows or doors, students are urged to contact their front desks when possible, or McGill Security: 514-398-3000

LAUNDRY The laundry rooms are located in the common room / kitchenettes on the 5th, 7th, 9th, 11th, 14th, 16th, 18th & 20th floors. As is the policy with the dishes, clothes left in the laundry room will be removed by the staff. You will need your oneCard (your student ID card) in order to operate the laundry machines in your Residence Hall. Simply tap the card in front of the designated area and follow the instructions. Prices per load are: Wash $2.00 and Dry $2.00. Please do not overstuff the machines as this will certainly cause the machines to fail and require repair.

TRADES & HOUSEKEEPING STAFF CS has full-time Trades staff on duty Monday through Friday. You will recognize them as they wear uniforms (navy blue uniforms, with a name patch and McGill ID card). Housekeeping services are provided seven days a week by Service Menager Roy or SMR, and you will recognize them in their beige uniforms. The staff enjoy a friendly relationship with all residents and count on your cooperation in ensuring a safe and clean environment. If there is a problem in your room, common room, or if you see something that needs fixing in the corridors, please report it to the Front Desk.

Front Desk and they will contact Housekeeping directly to assist you. It is better to deal with major stains in a timely manner, then to wait till the end of the academic year. If the carpet or furnishings are found to need replacing, it will be at the student’s expense. (Please refer to the RCR section of this memo or the actual RCR for a list of typical charges). oneCard dollars may be added by going on-line at: https://onecard.mcgill.ca. An alternative method is to use cash at the oneCard machine, physically located at Carrefour Sherbrooke (475 Sherbrooke street west). Laundry Service Residences offers an express laundry service operated by Nettoyeurs Express, students have access to wash-n-fold and dry cleaning services directly from the front desk. Garments are picked up from the front desk daily between 6pm and 8pm and delivered back the next day between 6pm and 8pm (a reminder there is no pick up or drop off on Sunday’s). For more information or to get started, ask the front desk for details or call Nettoyeurs Express at: 514-937-7377. Look for the kiosk set up in the lobby shortly after move in.

If, over the course of the year, you have a major spill on your carpet that will result in a stain or other similar incidences, please do not wait to clean it. Come to the

There is one floor fellow per every two floors at Carrefour Sherbrooke. Your floor fellows let you know important dates at McGill, show you around the city and plan academic and social events for your floor. Your floor fellow is your go to person; they can help you if you’re lost, if you’ve had a bad day or if you need to know about a service on campus.

SERVICE POINT Service Point is the result of students wanting a central place to access a variety of services and administrative offices previously scattered throughout the campus.
