Change Management and Engagement April 2018

Case study

The London Borough of Lambeth, which serves a diverse demographic population of approximately 320,000, has recently embarked on a significant transformation programme across all its service areas to ensure that the ‘Lambeth Vision of the Future’ maximises the skills of an agile, flexible and digitally enabled workforce. As a key component of the transformation programme, Lambeth identified the need to move to a more agile, intuitive, cloud-based finance and HR system that could support their move to a more mobile workforce, aligned to the rationalisation and improvement of their front and back office estate. The council was clear from the outset that it wanted to adopt a cloud-based solution with minimal change, as opposed to the more traditional approach of designing and customising a system specific to Lambeth. This approach shifted the emphasis from a technology implementation into a business change programme and Socitm Advisory were selected as the business change partner for the programme.

Comments from Lambeth Senior Stakeholders “The work Socitm Advisory put in to working with our Subject Matter Experts at the onset and during Conference Room Pilots, the expertise and tenacity putting together a comprehensive impact assessment, the enthusiasm and dynamism to develop our to be processes have all been pivotal in establishing the firm foundation that has contributed to Lambeth’s go-live. The engagement work across the organisation, whether meeting directly with Directorates or via more general communication has ensured that people are aware of the changes and what they need to do to use the system, and even if they don’t remember the discussions the evidence and learning material is there for all to refer to and use as a point of reference. Projects of this complexity will normally see issues arise that impact on their go-live dates or the processes available to the business and Socitm Advisory should be very proud that that hasn’t happened.” — Jason Martin – Oracle Cloud Programme Manager

Our work included assessing organisational readiness, defining future business processes for the adoption of the new cloud-application, proactive user engagement through departmental meetings and ‘show and tell’ sessions, messaging through multiple channels to reach users across the whole organisation, face-to-face training and the development of use case videos that were embedded into the new system.
