WELCOME MESSAGE FROM THE HEAD COACH following the Long Term Athlete Development principles, we strive to create a balanced and well-structured program. I am proud of the excellent coaching team assembled at CW, and with the fantastic spirit of the swimmers and the support of the parents and Board of Directors, I feel we are well positioned ( in my eyes,) to be one of the leading programs across the province. A warm welcome back to all of our returning swimmers and staff and a special welcome to our new members! Last year was a fantastic year, with many encouraging performances throughout all levels of the program. Personal bests and winning performances by our swimmers were achieved at Regional, Provincial and National levels. As we go forward with our program, CW is developing into a strong player on the local, provincial, national and world stages. Once again, we are in the strongest division within Ontario and, as such, will need to persist in practicing hard to continue to lift our game, at each level. The CW program prides itself on building exceptional people, (who are also) exceptional citizens and great representatives of both family and community. At CW, swimmers learn excellent values, life skills and discipline. By

The 2013-14 season is the second year of the Olympic Quadrennial, so we will focus on the following events this season: The Western Region Short Course Champs, The Ontario Short Course Festival, The Eastern National Championships, The Ontario Provincial Championships, the Canadian Commonwealth and Pan Pacific Trials, the Pan Pacific Junior Trials, the Western Region 12 & Under Long Course Championships, The Ontario Long Course Festival, as well the Senior National and Age National Championships. While the senior swimmers and National/International competitions are the highest profile events for our program, the Club remains intently focused on growing the 12 & Under competitive program. We now have close to 100 competitive 12 & Under swimmers and we are looking to build our future stars from this program. Led by Head Age Group Coach, and former Olympian, Rob Taylor, and supported by our great coaching staff of Allison Meklensek, Julia Hewitt, Alex Johnson, Sam Johnson, Lexi Meklensek and Jonah Read, CW is well positioned to make its mark on the stage of world swimming. The CW performance system will bring development of the next generation of CW excellence to the forefront as we continue to build toward RIO 2016 and Tokyo 2020. --This is an exciting time for CW! All of our swimmers will experience the wonderful lessons to be learned from being challenged and trained under the tutelage of our dedicated staff, and will share in the excitement of our cutting-edge approach and style. I am truly looking forward to an exciting year. Get on the CW Train and enjoy the ride! Swim Clean to Swim Fast! Coach Chuck Meklensek, Head Coach - Club Warriors

COMMUNICATIONS Good communication is essential and we will endeavour at all times to keep parents and athletes informed about all news and events that impact the team. Below are our primary means of communicating with you. Email – Email is the primary form of communication for CW. Any new club information is sent out via email. Please check your email regularly to stay informed. Meetings - Group or general meetings will also be scheduled throughout the year. Board of Director meetings happen on the second Thursday of every month. The CW Annual General Meeting will be held in December; prior to the club Christmas party. This is where elections are held for executive positions and reports are given on the past season. Website – The club website, www.clubwarriors.ca, provides access to news club warriors club handbook

and events for the club, a personalized record of your member account and meet entry fees as well as the meet schedule and other pertinent information. Bulletin Board - CW keeps an up-to-date bulletin board in the pool gallery where you can find information about events and print versions of club updates. Coaches - An open line of communication between the coaches, parents and athletes is crucial to the success of a team. The best way to speak with the coaches is to meet them after practice. They usually make themselves available to answer questions for a short time after practice. Sending an email to the coach is also a good way to communicate with them. Twitter/Facebook – CW’s Twitter handle is @CWSWIMMING and our Facebook account is ClubWarriors. Please make sure to follow and like.

FOR THE PARENTS Positive Parents This is a list of ideas that will help all swimmers reach their true potential. We need everyone to stand behind the club, so each and every swimmer can be proud of what they accomplish and actually have the opportunity to be coached to their fullest potential. Positive parents are:  Parents who are never overly disappointed when their child has a poor performance  Parents who do not feel the need to psyche-up their child before competition  Parents who feel their child can enjoy the sport even when they don’t win  Parents that don’t interfere with the coaching process during competition or practice  Parents that do not dislike their child’s opponents  Parents who put the goals of their child before their own  Parents that do not provide material rewards for success  Parents that do not try to accelerate the training process

FOR THE SWIMMERS The coach-swimmer relationship is built on trust. For everyone to gain the most from our program, swimmers must be familiar with these expectations. Please take a moment to go over them with your swimmer. Respect themselves, families, fellow swimmers, coaches, officials and surroundings. Give their best, honest and true effort at all times. Be on deck ready to begin the workout 15 minutes before the scheduled time Set personal goals and try to attend all practices Swimmers are expected to wear team gear at all swim meets and team functions.  If the swimmer is leaving the practice early, please inform the Coach at the beginning of practice and not in the middle, so the Coach can prepare.  If swimmers must come late or leave early, we ask that they leave with the least amount of disruption to their teammates and coach as possible.  To make friends and have fun and be a good sport     

COMPETITION STANDARDS New 2012-2016 Time Standards There are various meets throughout the season in which swimmers must meet qualifying times. Swimming Canada puts out National Standards for Age Group Nationals and Senior Nationals, Swim Ontario publishes standards for the Provincial Championship meets and the Western Region publishes standards for the Regional Championships. Clubs that host meets sometimes place qualifying and dequalifying standards for their meet. A dequalifying standard is a time for an event that if you are faster than, you cannot swim that race. These meets allow for developing swimmers to race for victory also. The latest Time Standards can be found on the CW website members section under Club Info.

MEET ENTRY & SCRATCH POLICY All competitive swimmers are automatically entered into all eligible swim meets by the registration deadline set by the host club.

After that deadline, if a swimmer has not been scratched, the family will be responsible for any meet entry fees associated with that swim meet.

A meet schedule has been posted on the team web-site which includes our tentative meet commitments. This schedule will be regularly updated and can be found under 'Meet Info' once you have logged in.

It is not mandatory for swimmers to attend all meets, but swimmers are strongly encouraged to participate in every competitive opportunity presented to them. The club recognizes that emergencies and last minute illnesses happen and these situations will be dealt with on a case by case basis.

All meets have a scratch deadline which is two weeks prior to the meet start. Parents must notify the club no later than the deadline if your swimmer cannot attend a meet.

[email protected] An email address has been created for parents/guardians to notify the club, by the scratch deadline date, if their child is unable to attend a swim meet.

VOLUNTEERS Volunteer activities are an integral part of providing a successful season and are the only way the club can progressively operate. Most swim clubs have some form of points system to equally share the volunteer load. At CW we have chosen for now to keep the volunteer process organic and look to all families to help out where they can. The success of the club depends on it! There are many volunteer positions that will need to be filled from officiating at in-house club meets to helping organize the club Xmas party. Below are some of the key positions to be filled.

Volunteer Position – Fundraising Co-ordinator work with the Board of Directors • identify fundraising opportunities and develop implementation plans (the fundraising coordinator isn’t responsible for doing the fundraising, but rather identifying and organizing the activities) • recruit additional volunteers to help and share the workload • work with individual board members depending on the nature of the activity (i.e., communications, cash collection and receipting, etc.) • liaise with 3rd parties as necessary • ensure all paper work is properly completed and submitted • draft communications to the Club membership • attend Board Meetings if necessary to report on activities

Volunteer Position – Swim-a-thon Co-ordinator The Swim-a-thon co-ordinator will be responsible for running the annual Swim-a-thon event (normally held in April). It is expected this will require approximately 20 – 25 hours over the course of the season. The Swim-a-thon co-ordinator will work with the Board of Directors • recruit additional volunteers to help and share workload • work with individual board members depending on the nature of the activity (i.e., communications, cash collection and receipting, etc.) • organize the post event social (may be a combined with the Social a Events Planner) • ensure all paper work is properly completed and submitted • draft communications to the Club membership • attend Board Meetings if necessary to report on activities club warriors club handbook

OFFICIALS TRAINING

It is most important that the Club develops a roster of qualified volunteers, and it would be helpful if each swimmer had at least one parent trained and registered to level I . A level 1 candidate is trained to be a Timer, Marshal and Safety Marshal. The Ontario Swimming Officials Association has constructed a website, in order to aid this process. The steps to follow are: a) Go to www.osoa.ca b) Click on education and then on [LOGIN]. c) Follow the instructions under "Is this your first time here" - Create your own Username/Password d) The Enrollment Key is "swimfun" for Level 1 and Level II it is "swimfun2" e) After viewing the appropriate audio/video files , there will be a quiz. f) You need at least an 80% to pass. g) Please print off your results and send to [email protected]. Volunteer Position – Social Events Planners (3 positions) The Social Events Planners will be responsible for identifying and organizing the Club’s social events. This will include the annual holiday party, after in-house meet social and end of year picnic. Others may be identified by the Planners. It is expected this will require approximately 20 – 25 hours over the course of the season.

Volunteer Position – Club In-House Meet Plan and organize several in-house club meets • co-ordinate activities with the head coach • work with Officials Coordinator to arrange officials and timers

Member Communication & Account Information Members will find a wealth of tools on the Club Warriors website, including access to Club Emails, My Accounts Accounts,, How to Pay Fees, etc…

The Social Events Planners will: work with the Board of Directors; work with individual board members depending on the nature of the activity (i.e., communications, cash collection and receipting, etc. • draft communications to the Club membership • identify potential dates and locations for events (final decisions are made by the Board) • liaise with 3rd party service providers as necessary (i.e., banquet hall, park location, etc.) • may form a sub-committee(s) in order to share workload club warriors club handbook
