Intelligent Agents Add an Agent

In this guide you will learn how to: • Create an Intelligent Agent • Apply Agent Criteria • Compose the email What is an Intelligent Agent? An intelligent agent monitors your student’s activity in the unit, looking for criteria that you set. This could be login activity, like number of days since they’ve accessed Connect, or a release condition, like attempting a quiz, or viewing content. Once a student fulfils that criteria, they get a personalised email that you’ve created. The Intelligent Agent tool is very versatile. It can be used to give students a chance to reach out if they’re struggling with their study, so you can engage them with more support or resources on a topic. You can also congratulate them if they’re doing well, or even motivate them to push further ahead. It’s a great way to make the learning experience more personal for a student, and helps strengthen the connection students have to their teacher.

Create an Intelligent Agent 1. To create an Intelligent Agent click on Unit Admin in the Navbar.

2. Click Intelligent Agents from the list of available communication tools.

3. Click New to begin creating your first Intelligent Agent.

4. Enter the title for your Intelligent Agent. This will help easily identify the purpose of the agent to other teachers and staff.

5. Enter a description.

6. To activate your agent tick the Agent is enabled checkbox. This means the agent will be automatically running in our unit, and checking students against our criteria.

Apply Agent Criteria 1. Specify a criteria to check your students against.

2. In this example we want to email the student if they haven’t logged into Connect for 3 weeks. To do this tick the Take action when the following login criteria are satisfied checkbox.

3. Enter the number of days that will pass before the email is sent.

4. There are two options to choose from for the Action Repetition. In this example we only want the student emailed the first time that they satisfy the criteria so we’ll select Take action only the first time the agent’s criteria are satisfied for a user checkbox.

5. Next we need to specify how often we want Connect to check that the criteria has been met. To do this tick the Use Schedule checkbox.

6. Click Update Schedule.

7. Click on the Repeats dropdown box.

8. Select the frequency for the check.

9. Enter the number of days you want the schedule to occur. For example if you selected Daily in the previous step you would enter 1 so that it repeats every day. If required enter the start and end dates for your schedule, otherwise leave these checkboxes blank.

10. Click Update.

Compose the email 1. If you want this email to go specifically to any student who satisfies the criteria, use the special email address called ‘Initiating User’. You can find a link to this under the BCC field.

2. Click on What special email addresses can I use?

3. Copy the {InitiatingUser} text.

4. Click Close.

5. Paste the text into the To field.

6. If you would also like to be notified when an email is sent to a student enter your email address in the Cc field.

7. Enter the subject heading of your email.

8. Enter your email message.

9. To have the student’s name appear in the address line click on What replace strings can I use in the subject and message? Replace strings are a list of things you can add that can help personalise the email.

10. Copy the relevant string, for example {InitiatingUserFirstName}.

11. Click Close.

12. Paste the string into your email message. Complete the rest of your email.

13. Format your email as required, and if necessary apply a spell check and / or preview your email.

14. Click Save and Close
