To serve as secretary to the building principal and to facilitate the efficient operation of the school office.

QUALIFICATIONS: Minimum Education/Certification: High school diploma or GED from an accredited institution (required)

Special Knowledge/Skills: General secretarial skills Typing, 60 words per minute Good telephone skills Working knowledge of bookkeeping Computer knowledge/experience Word-processing skills Interpersonal skills Minimum Experience: Two years educational secretarial/clerical experience or fifteen hours or more of college business courses MAJOR RESPONSIBILITIES AND DUTIES: A.

Specific Responsibilities and Duties: 1. Maintains principal’s office calendar. 2. Schedules appointments for principal. 3. Accepts telephone calls and mail for principal. 4. Types correspondence, memos, reports, agenda, handbooks, etc. 5. Maintains the school budget. a. Checks and enters on computer. b. Places orders (TMS, work orders, etc.). c. Tracks spending. d. Maintains Budget files. e. Checks balances on accounts for departments. f. Issues Requests for Checks. 6. Keeps inventory of office supplies and orders supplies when necessary. 7. Maintains office files. 8. Attends inservice meetings as requested by the principal and other school district administrators. 9. Maintains Board Policy Manual. 10. Maintains Personnel Information a. Collects and files Personal Data Sheets. b. Prepares Teacher Roster. c. Prepares list for Service Awards. Revised 4/7/2017

Serves as building payroll officer. a. Issues paychecks for faculty and staff. b. Processes travel requests and distribute travel reimbursement checks. c. Maintains and processes Saturday School and Tutorial Forms and Paraprofessional Weekly Time Reports. 12. Checks eligibility maintains and sends UIL forms for all sports and Academic Contests; assists in ordering letter jackets. 13. Sorts and distributes Inter-Office mail. 14. (Senior High only) Assists with graduation activities. a. Prepares and types Diploma List for Seniors. b. Checks diplomas when received. c. Adds Award stickers. d. Provides other assistance as needed. 15. Administers school insurance. a. Distributes information. b. Collects requests for insurance. c. Prepares School Accident report, other than sports. 16. Prepares Southern Association Report. 17. Services as Notary for school Shared Responsibilities 1. Assists other office staff (receptionist, registrar, attendance clerk, and bookkeeper) as needed. 2. Assists with mail. 3. Assists with substitutes as needed. 4. Assists in the clinic in emergencies. 5. Supervises office aides. 6. Key operator for office copy machine. Performs other duties as assigned.
