ROLE AND PURPOSE: To provide clerical and administrative support to the Director of Food & Nutrition Services. Coordinates office management activities to support campus operations for 610 employees. Responsible for generating and receiving purchase orders and/or requisitions for office and two warehouse locations consisting of 620+ items, processing invoices, managing school and office personnel files, Worker’s Compensation, equipment, fixed assets, work orders, etc. Schedule appointments and plan events for department training and recognition. QUALIFICATIONS: Education/Certification:  High School Diploma required. Associate degree preferred.  MS Office certification or demonstrated equivalent skill level. Experience:  Progressive secretarial and/or office management experience.  Preparation of presentation and training materials preferred. Special Knowledge/Skills:  Must have excellent public relations, communication and technology skills.  Good organization skills and accurate data entry skills required.  Must be able to generate spreadsheets, use department and district software such as FileMaker, Horizon VBoss, Visio, TEAMS, etc. MAJOR RESPONSIBILITIES AND DUTIES: I. INSTRUCTIONAL MANAGEMENT A. Assists with delegating and compiling all materials and information needed for department staff development. II.

SCHOOL/ORGANIZATION CLIMATE A. Maintains monthly calendars for the food service office and cafeteria staff.

III.

SCHOOL/ORGANIZATIONAL IMPROVEMENT A. Responsible for coordinating information with the Records Management Department. B. Maintains file of all key and safe numbers for all schools. Monitors keys given to individuals to use during the year, and is in charge of getting additional keys needed throughout the year.

ADMINISTRATION AND FISCAL/FACILITIES MANAGEMENT A. Responsible for receiving purchase orders and/or processing invoices for department to include generating the report of commodity values monthly for the General Ledger. B. Creates and enters purchase orders and requisitions as needed for schools, warehouses and office. C. Maintains all departmental personnel files, coordinating with Auxiliary Personnel and Operations Coordinator to ensure accuracy of the department and district systems. Prepares check requests, travel requests, work orders and requisitions for the department as needed. D. Coordinates office equipment repairs, and building repairs for department. E. Researches, obtains quotes and orders office equipment on items as needed. F. Assists with budget development and changes as needed. G. Maintains records for state and federal audits of capital assets. Ensures tracking and receiving of all large equipment is reported accurately to district and state entities. H. Verifies all absence reports for department office staff in district system.

SCHOOL/COMMUNITY RELATIONS A. Provides information to department employees regarding Worker’s Compensation and maintains all records. Tracks employee, type of accident, school, date and date of return. Maintains files of first report of injury, physician reports and limited duty reports. Maintains records of special equipment needs. B. Works with Risk Management and T.A.S.B. to follow up on accidents and physician reports.

PROFESSIONAL GROWTH AND DEVELOPMENT A. Helps plan and schedule appointments, training and recognition events for department.

SUPERVISORY RESPONSIBILITIES A. Facilitates and schedules department clerical staff to ensure all services are operating efficiently for customers. MISCELLANEOUS A. Performs other duties as assigned by Director.
