SPECIAL EVENT VENDOR RULES The following rules apply to all vendors that participate in a special event produced by the Kissimmee/Osceola County Chamber of Commerce. APPLICATION PROCESS DEADLINES: Applications must be received, fully completed, signed by the vendor and include all the appropriate fees no later than Friday, October 5, 2018. Applications submitted that are incomplete, unsigned or without the appropriate fee will not be accepted. Photographs or other attachments will not be returned unless specifically requested. APPROVAL: Applications will be approved or denied based on events needs, space availability and/or duplication of products. The submittal of an application does not guarantee a vendor acceptance into any event. All decisions are at the Chamber’s discretion. DENIAL: Upon disapproval of the application, the Chamber will notify the vendor within (10) working days upon receipt of the application. Notification will include a copy of the application, fee (if submitted) and justification for denial. REFUNDS/CANCELLATIONS: No refunds will be given for cancellations received after September 13, 2018.

The Chamber has no control over the weather and is not obligated to refund any event that is affected so.

GENERAL RULES BOOTH SPACE: All applications come with a 10x10 vendor space and include 1 Tent, 1 Table, and 2 Chairs. Vendors requiring more than 10’ x 10’ space must purchase additional space. Food vendors are limited to (1) 20x10 location. Pushcarts, umbrella stands, display tables and strolling vendors are not permitted unless they are unique in appearance and/or service. All vendors must provide their own, dollies, nonelectrical lighting and other operational equipment unless provided by the Chamber. Art, craft, and merchandise vendors must provide their own lighting needs (battery operated or generator-powered lights). BOOTH ASSIGNMENT: All booths will be assigned at the sole discretion of the Chamber. All vendors must utilize their assigned booth location. Trading or relocating assigned booth locations is not permitted. Spaces will not be determined until the week of the event. SET-UP DIRECTIONS: All vendors may set up their booth between 8:00 am and 10:30 am the day of the event. Check in at the vendor check-in at the entrance to the park BEFORE setting up to receive your booth assignment. All vendors must be set up no later than (1/2) hour prior to the start time of the event. Vehicles will not be allowed to drive on the grass so please bring your own dollies or carts. TAKE-DOWN DIRECTIONS: Vendors will be allowed to break down after the official end of the event, which is at 6:00 p.m. PARKING: The streets surrounding the park area are closed during the event. Vendors will be given parking passes to park in the vendor parking lot adjacent to the park. SALES TAX: All vendors will comply with the Department of Revenue tax collection rules. Contact the Division of Collection and Enforcement at (407) 741-4638 for tax information and appropriate forms. The Chamber is not responsible for tax collection or payment. INVENTORY LIST: All vendors are limited to sell only those approved items listed within their application. The Chamber reserves the right to deny the sale of any items it deems unacceptable or inappropriate. LIABILITY WAIVER: All vendors agree to discharge the Kissimmee/Osceola Chamber of Commerce, its employees, and sponsors from any suits or claims based on property/processions loss or damage. All vendors agree to comply with the rules set forth or implemented on event day. The Chamber reserves the right to revise any rules for the betterment of the events and their customers. INSPECTIONS: The Chamber reserves the right to inspect any vendor’s booth space at any time to enforce all rules and regulations. DECORATIONS: Vendors are encouraged to decorate their booths according to the theme of the event. FOOD VENDOR RULES ONLY BEVERAGES: No alcoholic beverages may be sold. Vendors selling unapproved beverages will be asked to discontinue immediately or tear down their booth space with no refund of fees. ENVIRONMENTAL REQUIREMENTS: Food vendors may not sell/dispense any products in glass or Styrofoam containers. FIRE DEPARTMENT REQUIREMENTS: All canopies or tents must have a fire retardant certificate and all cooking apparatuses must be in a close and secured area within the vendor’s assigned space. Food vendors must have a 2A 40 BC fire extinguisher available at the cooking area. STATE REQUIREMENTS: Please note that all food vendors must meet state requirements for food preparation at special events. Proper cleaning guidelines must be followed and the state may be at the event to license vendors. You will be responsible for paying any necessary fees, so bring a cashiers check or money order. ***Please submit a $1,000,000 (one million) liability insurance certificate identifying the Kissimmee Osceola County Chamber of Commerce and City of Kissimmee as “additional insured’s” for the event date. Also, the sale of alcoholic beverages is not permitted.
