Exciting Changes for Transporters Libby Underwood, Call Center

Q:

Why was the team member picnic not offered at Prairie Parkway this year but was at other facilities that are considered clinical? There are several Allen Hospital employees at PPW.

A:

The picnic was intended to be a celebration for Hospital Week. The off-site locations where the picnic was served are all Allen Hospital departments (UMP, Cancer Center, Pain Clinic, Neurosurgery, Occupational Health (Cedar Falls), DHC at Tower Park). This is the memo that was sent the week of May 1 to all UPC staff in the Waterloo region: We want to provide some clarification around the picnics the hospital is hosting for employees as there have been some questions and confusion. Next week is National Hospital Week and Allen Hospital is having a picnic for all hospital employees. Due to the nature of the Prairie Parkway building containing mostly clinics, there is not a plan to have a picnic during this week. With that being said, we will plan to celebrate our clinic employees starting in 2019 for National Medical Group Practice week. This week falls on the fourth week of January each year. Jenni Friedly, COO

Many new and exciting changes have taken place in our Transport department. The new Epic Transport Module went live on March 27 allowing departments to use Epic to create their requests for Transport. Once the request is entered, the Epic program dispatches Transport. You will see Transporters managing these requests on their new iPhones! Having all of the information at their fingertips is a huge advantage for the Transport team.

Since go live, Transporters have completed over

2,000 requests!

There is also a new way to contact Transporters when the Call Center is closed. Vocera group “PM Transport” was created to reach the Transport team after hours. If you need to reach Transport after 3 p.m., use Vocera to call “PM Transporters” and it will contact available Transporters.

Tips for requesting patients:

• D ouble check the location fields before submitting the request. It is very important transporters know where the patient is at and where they are going. Use “current location” and “back to bed” options when appropriate. • The comment box is available to give the transporter as much information as possible. For example, documenting the specific time they are needed, or what procedure or room they are needed in. The more they know the better. The transition to the new program has been a positive experience. The Epic Transport Module compiles various reports, so we can identify how we can better serve our patients. Everyone is still learning this new program, and we will continue to work to do our best to meet the needs of everyone. It has been quite a change for us all, and we thank you for your patience and help with the transition. Please reach out to Libby Underwood, Call Center Lead at 2273; Teri Ettelson, Director at 3845; or Sarah Eiklenborg, Clinical Informatics Specialist 3479 with comments, questions or concerns.

Don't Lose Your Access to the Hub or Webmail! Q:

Everyone must sign up by May 21 for Multi-Factor Authentication (MFA) or you will not be able to access the Hub or webmail when working remotely off our network or if you are using a non-UnityPoint Health device. It only takes a few minutes to sign up. Please use this tip sheet. You will need your mobile device handy. If you experience any difficulty or have questions, please call the IT Service Center at 1333 or (800) 681-2060.

A:

Learn more about why we need to do this and things to keep in mind when working or accessing the Hub or your email remotely.

With this added intranet and email security and the need to verify our account to access the Hub and webmail, how do we do this if we don’t have a smartphone or ability to text? First of all, thank you for making an effort to help us protect your information and our systems. You should be able to register a non-smart/ non-text phone using the same process. If you have any further questions, please contact the IT Service Center at 1333 or (800) 681-2060. Again, thank you for helping us help you. Dan Norman, IT

Q:

Why is the Hub only on single sign on computers? When will it be on all computers?

A:

The Hub (intranet) is available to you anytime, anywhere, on any device. And you’ll be happy for the single sign on because your UnityPoint Health username and password can be used to sign in to the Hub from anywhere. To access the Hub from outside the hospital’s network, go to www.unitypoint.org/waterloo, scroll to the bottom of any page and click “Employees.” Click the link to the intranet and sign in. See these tip sheets to add a shortcut icon to your iPhone or Android smartphone. Robin Nicholson, Marketing

Q:

Will Spindustry training be offered in 2018 for PowerPoint?

A:

The Spindustry classes are offered as part of our UPH system IT training. I have reached out and found that the schedule is not finalized for the entire year, but there may be offerings in Q3 or Q4. In the meantime, feel free to check out the free self-paced trainings that are available in NetLearning. Go to the learning opportunities and search using key terms (e.g. Microsoft). Amber Dibben, Professional Development

Policies & Procedures Update Please review the May 14 update. You may locate these and all policies in the Policies & Compliance section of the Hub’s mega menu.

Internal Communications Survey Tell us what you want. What you really, really want! Please share your opinion about internal communications for the Waterloo region with us through this quick survey! The survey results will help us determine how we’re doing and ways we can improve to get you the information you need through the right channels. The survey shouldn’t take more than a few minutes AND you’ll be entered into a drawing to win gift certificates totalling $50 for use in the Gift Shop or Allen Café! Take the survey now or if you need a hard copy, contact Robin.Nicholson@ unitypoint.org or 3516.

Heart Walk Spotlight

Relay For Life Spotlight

The 2018 Cedar Valley Heart Walk is June 9. Find out how Connor Shaffer’s mom inspires her to walk:

The 2018 Relay For Life is June 15. Find out why Lisa Kremer started walking and keeps walking after 16 years:

I just started working at Allen last year, so that was the first Heart Walk I ever attended. I was very interested in participating in this event because my mom is a survivor. In January 2014, my mom went into cardiac arrest. She was in a coma for a week, and they didn’t think she would wake up from it, but she did. I myself have issues with SVTs and have had cardiac ablations performed to prevent and/or lower the discomfort I go through on a daily basis. Heart health is very important to our family, so these events are the perfect extra boost to help raise awareness. My team name for this year’s heart walk is Heart&Soul. My favorite part of the event last year was when I got to surprise my mom with her photo being hung up in the survivors tent and seeing how grateful she was. This year I was also a part of organizing and putting on the Cupcake War. It is such a fun event! Seeing everyone support the cause whether it was helping decorate, baking, or stopping down to buy sweets or make a donation was amazing. Are you inspired? I started participating in Relay For Life in remembrance and support of family members who have battled cancer. This year will be my 17th Relay as a participant and also a member of the event planning committee. My team is Team Frog, which stands for Fully Rely On God. That was my dad’s motto. My favorite part of the event is the survivor lap, when all the cancer survivors walk a lap together. It is very powerful to see so many survivors while also remembering those who lost their battles and aren’t there with us anymore. Relay is an amazing experience for cancer survivors and their family members. I would encourage anyone who has been impacted by cancer to come out and be part of the Relay. Are you inspired?
