The Challenge LeasePlan was maintaining employee data in Excel sheets that required a lot of manual effort and control. The challenge was to centralize enriched data in a data base for all employees but decentralize update to the source (‘self service’ by the employees) and provide reliable online information where needed. Since LeasePlan had well defined business rules for process approval that was implemented manually, the request was to implement all those processes with a digital signature and full history. Finally, there was an appraisal procedure that was recorded in Excel and could not be easily processed and compared through time.

The Solution Exelsys HCM was identified as the ideal solution, because it was an excellent fit for the business requirements of LeasePlan.

LeasePlan initially started with transferring their employee records from Excel to Exelsys Data Base through an automated interface. The first self service module implemented was “Leave of Absence” with digital signature of approvals or rejections through automated e-mails. The next module was “Expense Management” since all monthly expenses have to be reported by the 4

of next month. Expenses are recorded by employees,

approved by managers and transferred to GL through an interface. Implementation time was 2 months. Training was based in the “train the trainer” model and the training time for the trainers was 2 sessions of 2 hours each. Since deploying Exelsys HCM, LeasePlan has achieved its goal of digitalizing transactions in the area of HR and has streamlined related processes. Exelsys HCM has also brought about a reduction in administrative work for the HR department and a greater degree of flexibility for employees. Now, for example, when an employee wants to request leave, he/she can do so via self-service. By accessing Exelsys from his/her PC (or remotely via laptop or mobile), the employee can type in a request for leave. The request is routed electronically to the employee’s manager for approval and is then directed automatically to the HR department. Quality of reporting has also improved with Exelsys HCM. Information about any HR-related matter is immediately available or can be easily extracted using the flexible Analytics Reporting engine.
