Job Purpose: This position is responsible for providing exceptional customer service, general secretarial and administrative support and assistance to internal and external clients. Job Duties:

      

Provides secretarial and administrative services utilizing full Microsoft Office suite of products including Word, Excel, Access, Outlook, and PowerPoint. Organizes and maintains paper and electronic information storage and retrieval systems. Provides services including faxing, photocopying, mail processing and distribution. Provides technical training and support on general office equipment for others in the office (i.e. photocopiers, mail machines, fax machines, folders etc.). Assists in the effective dissemination of materials and communications. Provides general reception duties (i.e. answer, screen and forward calls, take messages, greet clients) projecting a professional image at all times. Responsible for maintenance arrangements and tracking of maintenance records for general office equipment.

Responsible for all data entry using the EYSIS database Provides support to program facilitators with program implementation Maintains supplies and forms for office. Performs other duties and special project work as assigned or delegated.

Education and Experience Required              

High school graduation, plus specific courses or specialized community college diploma. Proficiency in MS Word, MS Excel and MS Outlook a must 2 – 3 years general administrative experience, preferably in a customer service environment Strong comfort level as an end-user of technology Knowledge of operating standard office equipment Proven ability to be flexible, highly organized and able to juggle multiple priorities Excellent English language skills – proven written and oral communication skills Ability to identify and effectively respond to requests and inquiries, communicating clearly and concisely with a wide variety of internal and external contacts. Strong organizational skills with the ability to maintain data management systems Ability to work independently, with minimal supervision and guidance, while also being able to work effectively in a collaborative team environment Highly developed interpersonal skills to establish and maintain positive relationships Ability to multi-task, set priorities, meet deadlines and commitments Ability to exercise initiative, develop innovative solutions to challenges and problems. Ability to lift 15lbs to 20lbs.
