Independence Community College Position Announcement Financial Affairs Specialist Independence Community College (ICC) seeks applications for the position of Financial Affairs Specialist. Position Summary The Financial Affairs Specialist is responsible for being the initial point of contact for students wanting to complete financial aid and make financial arrangements for their classes at Independence Community College. The Financial Affairs Specialist is a member of the Financial Affairs division and reports to the Chief Business Officer. This position is non-exempt and involves the collection and input of information and data necessary for a student to attend classes and live at Independence Community College. The duties are generally performed in a standard work week timeframe, but may require non-traditional work hours such as evenings, weekends and holidays. Qualifications High school diploma and some college coursework are required. An Associate’s or Bachelor’s Degree is preferred At least one year of experience in an educational setting preferred. Candidates must have exceptional customer service skills and have experience managing a multitude of tasks on a daily basis. Working Conditions/Physical Requirements The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of a Financial Affairs Specialist. Position Information This is a full-time, 12-month position, with vacation, personal and sick leave, and excellent insurance program. Hourly wage is $11/hour. Primary Responsibilities 1. Answer incoming telephone calls for the Business Office, and Financial Aid office. 2. Direct incoming traffic flow by pre-screening, assisting with completion of forms, and collecting paperwork for respective areas. 3. Assist students with student accounts, to include taking payments, answering account questions, and providing estimates. 4. Be a team player and work in a team environment within the work area, to include the Financial Aid and Business Office 5. Maintain accurate student records in cooperation with the Financial Aid and the Business Office. 6. Assist with placement of Student Employees, creating block schedules, completing employment paperwork, collecting timesheets, and submitting payroll information. 7. Assist students with online accounts and applications, to include, PayPal, SIS, Fafsa, entrance counseling, and master promissory notes. 8. Work cooperatively with organizations to promote student involvement on campus. 9. Assist with Orientations, Pirate Preview Days and Move-In Days. 10. Pick-up and deliver mail, as directed, to the proper sections of the Student Union. 11. Preparing and mailing out letters and correspondence. 12. Assist with loan default prevention by providing contact and reference to third party servicers. 13. Assist with filing and record retention. 14. Perform additional duties as assigned. General Responsibilities 1. Provide exceptional customer service. 2. Accuracy, honesty and integrity in collecting, handling and maintaining data. 3. Cooperate with other college departments in gathering or submitting data. 4. Assist in maintaining a system of records to respond to program review findings or other issues, as required. 5. Ensure timeliness of reports and communications. 6. High degree of ethical standards, including adherence to general rules for safety and procedures. 7. A commitment to high professional standards, including professional growth. 8. Monitor college-related electronic and social media. 9. Utilize professional judgment when necessary to provide the best customer service possible to all students and to maintain a high level of confidence. 10. Requires knowledge to accomplish comprehensive tasks utilizing established policies and procedures. 11. Answer phone calls when not working with students, and respond to phone messages and e-mail messages within 24 hours period. 12. Supervise student employees as available. 13. Act as an ambassador for the college, helping it to maintain and promote a positive reputation in the community.
