Google Forms - Automatically Stop Accepting Responses “Form Limiter” Add-On Carol LaRow You can have Forms automatically stop accepting responses. You can do the following. Close the Form: • on a specific date and time • after a maximum number of responses • when a specific cell in a spreadsheet equals a specified value This is useful in the classroom because you can: • • • • • •

set time limits for assignments close the testing time on a specific test or quiz write a specific message for students when they try and access a Form after the closing date and time close registrations when there are limited number of spaces do scenarios such as, “The first 50 sign-ups . . . “ link Sheets to Forms and have a limit tied to a cell’s value in the Sheet

Steps: • In “Edit View” of a Form, get “Add-Ons”

• Search for the “FormLimiter” Add-On • Install the Add-On • Follow directions to install

• As it is installing, you need to grant “access” to the Add-On • You will see a window such as the one to the right. • Be sure and scroll to the bottom of this window, and click “Accept”

A sidebar opens to the right of the Form you are in. You will be in “edit mode.”

Window opens that is similar to the one on the right. Use the calendar to choose the “stop date” Can set the exact time the Form will close You can even set it to the exact minute

• You can add a customized message to the students. • This is the message they will see if they try and access the Form after you have closed it. • You can also check a box that says, “Email Form owner when submissions are closed.” • Click, “Save and Enable” (blue box at bottom of right sidebar.)

When the Form is “turned off” or closed, you will see the red message bar in the “edit mode” of your Form.

• To turn the Form back “on,” use the toolbar in the “edit mode” • Responses --> drop down menu • Click on, “Not accepting responses” to toggle back to “accepting responses:

Set Maximum Number Of Form Responses: You can set the maximum number of responses a Form will accept. This can be helpful when you need to close a Form after a certain number of people have signed up for an event. Or, you can have students volunteer for a project, and limit the number of people on each project. • With FormLimiter already installed, Add-Ons > FormLimiter > Set Limit

• Change the sidebar option to, “Max number of Form responses” •

Make choices for the number of responses you wish to accept Type an integer into the box provided When the number of responses is greater than that integer, the Form will automatically close You can also add a customized message And, you can choose to receive an email when submissions are closed Remember to click, “Save and Enable” at the bottom of the right sidebar
