Guide to the BFI-system This guide presents step-by-step instructions for researchers on how to use and navigate the BFI-system; https://bfi.fi.dk/. The BFI-system is the IT-system developed and used by the Ministry of Higher Education and Science to support the Danish Bibliometric Research Indicator (the BFI model). In the BFI-system everyone has the opportunity to make proposals for new publication channels to be added to the BFI-authority list. Proposals can be made at any given time. The BFI Office evaluates all proposals and sends them to one of the 68 subject groups, covering the different scientific subjects in Denmark, who will make an academic evaluation of every proposed publication channel. 1. Getting access to the BFI-system All researchers with an SDU log-in are able to get access to the BFI-system at https:// bfi.fi.dk/, by using the “log-ind” button (English: Log in) in the bottom middle of the front page (marked by the red circle).

This leads to a log-in page where you have the opportunity to log into the BFI-system using WAYF (marked by the red circle).

This button leads to a page with a list of institutions, where you can either search for the University of Southern Denmark (Syddansk Universitet) or scroll down to find it in the list.

Clicking on the link “Syddansk Universitet” leads to the WAYF log-in page, where you can log-in using your SDU username and password.

The first time you log into the BFI-system, you will be met with a page where you can request more userrights in the system. Unless you have a reason to request additional user-rights simply ignore this page and scroll to the top of the page to find the black navigation bar.

2. Proposing to have a new publication channel added to the authority list Making a proposal to have a new publication channel, not already in the BFI-system, added to the BFI authority list is done on the page Forslag (English: Suggestions) which can be found in the top black bar on the front page of the BFI website once you’ve logged in (marked by the red circle).

The suggestions page contains a search function where all publication channels in the BFI-system can be searched and reviewed. Proposals to have a new publication channel, not already in the BFI-system, added to the authority list is made by clicking the link “Foreslå ny kanal til autoritetslisterne” (Propose new channel for the authority lists)(marked by the red circle).

This activates a prompt where you have to choose which type of publication channel you wish to propose for the authority list. After making your choice, click the green “OK” button. The four types of publication channels listed in order are: -

After choosing the type of publication channel you wish to propose for the authority list, you arrive at a standard submission form that needs to be filled out and submitted by using the green “Send” button at the bottom. The submission form varies slightly depending on the type of publication channel you have chosen. The different submission forms are presented below. The fields marked by a little red star are mandatory fields that have to be filled out in order to submit the form, whereas the rest of the fields should be filled out if possible. At the bottom of the submission form, there is a box which can be checked, if you which to receive e-mail updates regarding the progress and status of your proposal. The e-mails will be in Danish.

2.1 Proposing a journal or book series The submission form for proposing a journal or book series:

The field Titel* (Title) is for the full title of the journal or book series. The field ISSN is for the ISSN number of the journal or book series if it has one. An ISSN number is an 8 digit number in the following format xxxx-xxxx. The field Hjemmeside* (Website) is for the web address of the journal or book series. 7 of 19

The field Forlag (Publisher) is for the name of the journal or book series’ publisher if this can be identified. The field Forslag til placering i faggruppe* (Suggestions for placement in a scientific subject group) is where you choose which scientific subject group you think the journal or book series should be placed in. A list of the different scientific subject groups can be found here (the list is in Danish): http://ufm.dk/resolveuid/b7a852fd4df84023a93d8112f0eff56f The field Oplysninger om fagfællebedømmelse, herunder link til hjemmeside (Information on peerreviewing, including link to the relevant page on the journal or book series website) is where information regarding the journal or book series’ peer-review process should be added and linked to. The field Andre oplysninger, herunder forslag til andre faggruppeplaceringer (Other information, including suggestions for placement in other scientific subject groups) is where other relevant information can be added as well as suggestions for placement in other scientific subject groups.

2.2 Proposing a conference series The submission form for proposing a conference series:

The field Konferencetitel* (Conference title) is for the full title of the conference. The field Konferencens korte navn (the short name of the conference) is for the abbreviated name of the conference if it has one.

The field Frekvens* (frequency) is where the frequency of the conference should be stated (e.g. annual, biannual ect.) The field Senest afhold (last held) is for the date the conference was last held, in the format “month, year”. The field Senest afholdt i (last held in) is for the place the conference was last held, in the format “city, country”. The field Konferenceseriens hjemmeside (the conference series wbsite) is for the web address of the conference series. The field Forslag til placering i faggruppe* (Suggestions for placement in a scientific subject group) is where you choose which scientific subject group you think the conference series should be placed in. 2.3 Proposing a publisher The submission form for proposing a publisher:

The field Forlagsnavn (Name of the publisher) is for the name of the publisher. The field Alternative navne (Alternate names) is for any alternative names of the publisher. The field ISBN-rødder (ISBN-roots) is for the publishers ISBN-root(s). An ISBN number is usually 13-digits long divided by hyphens. The ISBN-root is the third set of numbers in a 13-digit ISBN-number, e.g. xxx-xx552-xxxx-x. The length of the ISBN-root can vary. The field Forlagets hjemmeside (the publishers website) is for the publishers web address. The field Oplysninger om fagfællebedømmelse, herunder link til hjemmeside (Information on peerreviewing, including link to the relevant page on publisher’s website) is where information regarding the publisher’s peer-review process should be added and linked to. The field Andre oplysninger, herunder forslag til andre faggruppeplaceringer (Other information, including suggestions for placement in other scientific subject groups) is where other relevant information can be added as well as suggestions for which scientific subject group the publisher should be placed in.

3. Proposing to have a publication channel already in the BFI-system added to the authority list If the publication channel you wish to propose added to the BFI authority list is already in the BFI-system, but not currently on the BFI authority list, then the proposal needs to be added differently than when adding a new publication channel not currently in the BFI-system. Making a proposal to have a publication channel already in the BFI-system, but not currently on one of the BFI authority lists, added to the authority list is done on the page “Forslag” (English: Suggestions). Here you search for the publication channel you wish to make a proposal for and use the “Foreslå” button (Propose) attached to the publication channel (marked with the bottom red circle).

This leads to a page where you can choose to either “Opret forslag om ny kanal” (Create a proposal for a new channel) or “Opret forslag om ændring” (Create a proposal for a change). Here we choose the first “Opret forslag om ny kanal” (marked with a red circle on the picture below) and create a proposal for a new channel.

This will bring you to a standard submission form which needs to be filled out and submitted using the green “Send” button at the bottom. The submission form will vary slightly depending on which type of publication channel you’re making a proposal for. The type of publication channel you’re making a proposal for can be seen next to the title of the publication channel on the above picture (marked with a red line). There are four types of publication channels in the BFI-system -

Bogserier (Book series’) Tidsskrifter (Journals) Konferenceserier (Conference series’) Forlag (Publishers)

4. Proposing changes to the bibliographic data of a publication channel Proposals for changes to be made in the bibliographic data of a publication channel is submitted on the page “Forslag” (English: Suggestions) where you start by searching for the publication channel in the search field and then click on the button “Forslag” (Propose) next to the correct publication channel in the listed results (marked by the red circle)

This leads to a page where you can choose to either “Opret forslag om ny kanal” (Create a proposal for a new channel) or “Opret forslag om ændring” (Create a proposal for a change). Here we choose the latter “Opret forslag om ændring” (marked with a red circle on the picture below).

5. Proposing to move a publication channel to another scientific subject group Proposals to have a publication channel moved to another scientific subject group are submitted on the page “Forslag” (English: Suggestions) where you start by searching for the publication channel in the search field and then click on the button “Foreslå” (Propose) next to the correct publication channel in the listed results (marked by the bottom red circle)

This leads to a page where you can choose to either “Opret forslag om ny kanal” (Create a proposal for a new channel) or “Opret forslag om ændring” (Create a proposal for a change). Here we choose the latter “Opret forslag om ændring” (marked with a red circle on the picture below).

6. Proposing to have a publication channel removed from the BFI authority list Proposals to have a publication channel removed from the BFI-list are submitted on the page “Forslag” (English: Suggestions) where you start by searching for the publication channel in the search field and then click on the button “Foreslå” (Propose) next to the correct publication channel in the listed results (marked by the bottom red circle)

This leads to a page (see picture below) where you can choose to either “Opret forslag om flytning” (Create a proposal for moving a publication channel to another scientific subject group), “Opret forslag om sletning” (Create a proposal for deletion) or “Opret forslag om ændring” (Create a proposal for a change). Here we choose the second option “Opret forslag om sletning” (marked with a red circle on the picture below).

7. Proposing to have a publication channel changed from level 1 to level 2 Proposals to have a publication channel changed from a level 1 to a level 2 publication channel can’t be made in the BFI-system, but have to be directed to the members of the scientific subject group responsible for the specific publication channel. A list of the scientific subject groups and the researchers affiliated to the different groups can be found here: http://ufm.dk/forskning-og-innovation/statistik-og-analyser/den-bibliometriskeforskningsindikator/organisering/faggrupperne/faggrupperne The specific scientific subject group a publication channel belongs to can be seen by searching the publication channel in the BFI-system. The scientific subject group number is listed under the heading “Faggruppenr.” (English: subject group no.) in the listed results (marked by the red circle).
