JOB DESCRIPTION Job Title:

Registry Administrator – Postgraduate and International Admissions

Grade:

Grade 5: £21,585 - £25,728 per annum

Job details:

Fixed Term Contract for Maternity Cover: 12 months, full time, 9 am - 5 pm Mon-Fri: 35 hours per week

Responsible to:

Assistant Registrar – Admissions and Records

Relationships with:

Registry, Admissions and Visa Support Staff, Academic Staff, Marketing Staff, Students, other HEI’s, statutory bodies.

Main purpose of job: To take responsibility for all Postgraduate and overseas applications, including maintenance of Student Registration Systems and Student and Applicant Files, acknowledging, logging, chasing and progressing applications as necessary. To support the Registry Administrator for Undergraduate Admissions at peak times and also understand and be able to undertake any Registry function in accordance with the current operational processes and procedures as required at the request of the Assistant Registrar to meet deadlines and provide cover for team. To support the Assistant Registrar in training and development of other team members in understanding of specific area of expertise within the Registry function.

Key tasks: 1. Provide advice and guidance on programme options to Postgraduate and Overseas applicants and potential applicants verbally and in

writing. Deal with all external queries concerning the progress and status of an application in accordance with University and Registry guidelines. 2. Acknowledge check, log and process applications for all Postgraduate and Overseas applicants and maintain contact from initial application through to programme registration. 3. To support Undergraduate Admissions staff during peak periods and provide cover during staff absences. 4. Produce and check offer letters for signature by the Assistant Registrar – Admissions and Records. 5. Provide administration for Research student applicants, including registration and liaison with the RAU Research Committee and other universities. 6. Liaise with International Recruitment staff and Visa Support Staff, develop relationships with Academic Staff and support the Marketing Department at Open Days. 7. To interpret non-standard applications from UK, EU and Overseas applicants and make recommendations to programme teams on applications outside standard published entry criteria. 8. To support the administration of the University’s Africa Land and Food Fellowship programme and various other scholarships and awards applicable to Postgraduate and International students. 9. To contribute to the on-going enhancement of admissions procedures and the wider Applicant Journey. 10. Such other duties as may be required by Assistant Registrar – Admissions and Records from time to time.

Background Information About the department The Registry is a small but extremely busy office performing and involved in many activities that are central to the Academic function of the Royal Agricultural University. We are responsible for all activities related to students from their first enquiry to their graduation from the University. The work of the department includes maintaining and storing the students’ records in electronic formats, sending out prospectuses, making offers to applicants and sending out offer guides, liaising with UCAS and providing statistical data to HEFCE, QAA and HESA. We also support the applicant days and participate in both Undergraduate and Postgraduate Open Days. The department also has responsibility for the signing off and printing of examination papers and the whereabouts and storage of the Examination scripts. Ensuring that marks are available for examination committees and notifying students of results are also part of the department’s activities. All of these activities result in a constantly busy working day but also produce pressure points at certain times in the year when we have to take the view all hands to the pump, particularly during August – September. Many of our activities interact with other departments of the University as well as academic staff, and these external forces can lead to additional pressure to meet deadlines at times.
