Assistant Director of Admissions

POSITION OVERVIEW: Reporting to the Director of Admissions, the Assistant Director is responsible for overseeing all aspects of the admissions process in order to meet or exceed the School’s enrollment targets. This position counsels and advises families and agents and develops strong professional relationships with various constituency groups to effectively represent GNS and help increase admissions inquiries. Receive all incoming inquiries about the School, its programs and the admissions process; and promptly respond to prospective parents and students; Receive, screen and process all applications and supplemental materials; and respond to all applications in a timely manner; Prioritize mission appropriate applications in support of the strategic plan to ensure diversity, gender balance and class size maximums; Develop and monitor statistical reports to enhance recruitment strategies, yield management, forecasting and operational efficiency; Participate in identifying strategies to best promote the School & communicate with prospective families; Organize School tours, shadow days, testing and interviews; meet with families and schedule appointments with key personnel; Organize onsite and distance scholarship testing; invigilate, mark and evaluate admissions tests; Manage and schedule Junior Kindergarten and Kindergarten assessements; Work in close collaboration with the Admissions Committee, determine student admissibility and whether adapted programs are required (ie: repeat grade, ELL support, IEP etc.); Prepare all admissions related correspondence to agents and prospective families; and ensure all supplemental documentation is collected and fully completed; Assist families with documentation related to international students (study permit, notarized custodianship form etc.); Prepare and deliver presentations to groups and agents; Manage the admissions database and spreadsheets and track all relevant data as per School policy; provide information for reporting to the Board; Manage the enrollment spreadsheet, create and track official documents for international and family boarding students (MSP, Study Permits etc.); Work in close collaboration with the Registrar regarding new students, receipt of payments etc. and transfer hard and electronic files as per School policy; Set up all new student files; Distribute School information to new students/families such as bus information, course choices, lunch program, reading list, ASC, etc. Manage student ambassador program; Participate in and assist with Open Houses, parent events, orientations, agent events etc. to promote the School;

QUALIFICATIONS: Education: • Bachelor’s degree in business, marketing, public relations and/or communications or an equivalent combination of education and experience. Experience: • Minimum three years experience in an admissions capacity. • Minimum three years experience in an administrative support position preferably in an independent school environment. • Experience in a public relations capacity, an asset. • Experience dealing with the international community. Knowledge and Skills: • Must be results-driven, a self-starter and highly motivated with an interpersonal style that fosters collaborative and productive relationships with a diverse group of people. • High professional and ethical standards for handling confidential information. • Must have exceptional attention to detail. • Strong planning and organizational skills. • Analytical thinking and familiarity with statistical reporting. • Empathy and sensitivity to other cultures and customs. • Excellent written and verbal communication skills. • Ability to handle situations with tact and diplomacy. • Ability to organize multiple priorities and conflicting deadlines. • Strong database management and proficiency in preparing complex spreadsheets and reports. • Highly responsive to the needs of prospective families, agents and staff. • Willingness to participate and assist in other areas of Advancement, when necessary. • Ability to speak a second or additional language(s), an asset. • Proficiency in Microsoft Office Suite. • Familiarity with MAC, an asset. • Some recruitment travel will be required to attend international education events, agent/student fairs, and to meet existing and prospective families.
