Job Title: Artist & Music Coordinator Location: Grange Park Opera office, ALRESFORD, HAMPSHIRE Team relationships: This role reports to the Executive Director and will work closely with all members of the team, particularly the Chief Executive, Artistic Consultant, Head of Music and other Directors. Office Hours (9.30am-5.30pm, Monday – Friday) and additional hours during the festival. Possible flexible working hours 27 hours – full time. Holiday 20 days and public holidays. No holidays between mid-April - mid-July Objective This facilitates the artistic administration for future seasons. A key member of a small, friendly team, they should have the flexibility to take on a wide range of duties and the ability to work calmly under pressure. Essential skills and interests Score reading, knowledge of opera, and interest in languages, particularly Italian, French and German. Job Specification Key areas of responsibility include: Artist Coordination Music staff and chorus (in collaboration with the Head of Music) • • • • •

Collate chorus applications for the Head of Music Audition management (booking venues, scheduling times) Attending auditions and delivering outcomes to artists Book repetiteurs, language coaches and music staff Maintain future casting lists

Conductors, directors, designers, principals and some small roles (Some small roles are taken from the chorus, others might be engaged separately) • • •

Co-ordinate with Head of Music, Artistic Consultant and CEO on casting Undertake research on the availability of artists Negotiate fees and conditions with agents/ artists in consultation with the CEO

All Artists • • • •

Processing artists CVs Drafting and issuing contracts through OPAS (processing data system) Authorising payments and logging these as required Handling FEU requirements with Executive Director

Handling sponsorship requirements (Visa/ work permit) Collating artist biographies and headshots for season programme Collate artist measurements

Orchestra and Music: • • • • •

Hire music, finding most cost effective publisher Arrange delivery of Orchestral parts to the orchestras and full scores to the office At end of the production, return the scores Hire of extra instruments as necessary Arrange piano tunings

Library • •

Filing and documenting scores/ music after productions Maintaining the library database on OPAS

Surtitles • • •

Source and edit into correct format Prepare/ insert into vocal score for DSM Check for errors during final stage rehearsals

General administration, specialist input/ other • • • • •

Book singers/ pianists for our out-of-season events Attend out-of-season events as required Proofreading of various articles of print, including the annual programme Contributing (if required) to newsletters, the Company website and other written materials on areas which fall within the role's remit Financial administration including overseeing correct coding of artistic invoices

Build and maintain good relationships with all team members and be able to communicate well with people of all levels Deal with all Grange Park Opera enquiries in a professional and courteous manner, in person, on the telephone or via email. Always adhere to all company policies and procedures Be involved and contribute at team meetings Carry out all reasonable instructions given by the management team and be willing to take on jobs to balance the team workload
