Guidelines and Confirmation for Volunteers 2016 Thank you for agreeing to help with the Lake Metroparks Halloween Hayrides! As we discussed, you have been assigned to help on the following date(s), in the following area(s): Rain or Shine Event!

Oct 14, 15, 21, 22, 28 & 29, 2016 All youth for the sites must be 12 and older. There must be one adult per 5 children. Halloween Hayrides go on in the rain, snow etc.! IT IS IMPORTANT THAT YOU DRESS FOR THE WEATHER. General Information "Halloween Hayrides" is a 20-minute wagon ride through haunted fields and forests. We are proud of the fact that this is a family event; featuring more traditional Halloween myths and legends rather than the blood and gore more commonly associated with haunted houses. Halloween Hayrides are held at Lake Metroparks Farmpark, 8800 Chardon Rd., Kirtland Ohio. The Farmpark is located approximately 1 mile east of Route 306 on Route 6 (Chardon Rd.) Enter the Farmpark via the west service drive. The speed limit on the service drive is 20m.ph. (Rangers do patrol this area!). Parking is available in the employee parking area directly west of the Visitors Center and in the parking area near Skeggs Arena. If both parking lots are filled when you arrive, you may park anywhere along the service drive. Be sure when you park that you are not blocking anybody else's vehicle. Please note that this parking is for event volunteers only. ALL EVENT VOLUNTEERS MUST SIGN IN AND SIGN OUT. The volunteer sign-in/sign-out is located in the Visitor Center Theater. You can enter the Visitor Center Theater through the back door on the side of the building that faces the employee parking area (fifth door from the right as you face the building - it will be marked). Please plan to volunteer 4:30- 10 pm. It is important that if you must leave early you let us know when you arrive if and you sign out in the theater. Because of the nature of this event, an adult must accompany any volunteer under 16 years of age. For groups there must be an adult for every five youth volunteering. Must be 16 to be scheduled as a narrator, you can be partnered with a buddy. Halloween Hayrides run from 6:30-10:30 pm on Fridays, and 6:30 - 10:30 on Saturdays. Volunteers who need costumes and/or makeup should sign in by 4:30 pm (this gives us an hour to get everyone out to the sites). Volunteers who do not need costumes should sign in by 5:30 pm. Plan to be at Farmpark until at least 10:00 pm. Sometimes we run a little late. It also takes a while to get everyone back to the Visitor Center. Safety and Security  For your safety and the safety of the visitors, please stay at least three feet away from the wagons at all times. Do not touch the wagons or the visitors at any time.  Stay at your assigned site or area at all times.  Staff will be patrolling the entire hayride area (including the trail) on foot and in golf carts. If you have any problems while you are working, please notify them. Only fright site volunteers and staff/volunteers assigned to patrol the trail are permitted on the Halloween Hayride trail.  No flip flop shoes may be worn. Closed toed shoes must be worn at all time.

Important stuff  Do not adjust lights, sounds or props at your site. Everything has been set up for maximum visibility from the wagons. If you think there is a problem with lights or sound, notify anyone in a golf cart. If the audio at your site is too loud, earplugs are available (ask any staff member or volunteer on the beverage carts).  Take special care not to touch or move the mannequins. They are very fragile and fall apart easily.  Please help us out by turning on the lights in the porta-johns before it gets dark. The site volunteers really appreciate it!  You may want to bring a change of clothes, flashlight, umbrella, and coffee mug (we discourage disposable cups). Please mark all personal items with your name. Lake Metroparks is not responsible for lost or damaged clothing or personal items.  It is a good idea to put all your stuff (hats, gloves, flashlights, mug, etc.) in a plastic bag so you can take it out to your site and it will stay dry.  A word about cancellations... DON'T! Seriously, if an emergency comes up, you will be late, or find that you must cancel at the last minute; you can call Lake Metroparks Farmpark at 256-2122. Please remember that we are counting on you!  Please No cell phones on the Sites. No Texting while on duty.  Do not leave your assigned site or area at the end of the evening until a staff member tells you to. A wagon will come by to pick you up and return you to the Visitor Center. While you are waiting to be picked up, you can help by extinguishing all luminaries near your site along the trail.  Yes, we run Halloween Hayrides in the rain, snow etc.! IT IS IMPORTANT THAT YOU DRESS FOR THE WEATHER. We recommend that you wear layers of warm, dark clothing and waterproof footwear. No matter how warm it is when you leave home; it will get very cold in the woods at night. Bring Gloves! You may want to wear a hat; our naturalists say that most body heat is lost through the top of your head.  Wear old clothes! We cannot guarantee that you will stay clean, especially if it's muddy! Please don't wear any clothes that would upset you if they got ruined. (In other words no "minks", expensive clothing, etc!) No flip flop shoes may be worn. Closed toed shoes must be worn at all time. Costumes/Make Up  Volunteers in the Visitor Services area are encouraged (but not required) to work in a costume, and are asked to provide there own.  Narrators must be in costume. Most narrators prefer to provide their own costumes. Assorted robes and makeup are available in the costume area for narrators' use. Please check in with Volunteer Dept. at volunteer check in area.  Actors or technicians assigned to fright sites should wear layers of warm, dark clothing. Whatever costumes, mask, make up, props, etc. required for the fright site work will be provided. Some other general guidelines for what to wear - aliens: green pants; zombies; any type of old, shredded clothing (the effect we’re looking for is "rotting").  Volunteers assisting as technicians and in the volunteer hospitality areas do not need costumes.  Volunteers will be in the makeup area to assist with makeup. Refreshments (You can bring snacks)  We regret that there is not enough time to feed event volunteers each evening before Halloween Hayrides. This can be a long evening; we recommend that you eat something before you arrive or bring a snack. If you are coming directly from work, you are welcome to bring "fast food."  All outdoor volunteers will be provided with coffee/hot chocolate for the duration of the evening. If you wish to bring a thermos, we will try to fill it for you before you go to your site, and we will refill it during the evening.  Food and beverages are served to event volunteer in the visitor center, at the conclusion of each night’s activities. You are welcome and encouraged to attend. BE CAREFUL OUT THERE and HAVE FUN! THANK YOU! WE REALLY COULDN’T DO IT WITHOUT YOU!

ALL Lake Metroparks volunteers that may have unsupervised access to children might be required to have fingerprinting and a criminal background check. I further agree to hold Lake Metroparks, the Board of Park Commissioner, employees, agents, volunteers and sponsors free from any and all liability and /or claims and hold them harmless for any injuries or damages to property or person caused by me.
