Microsoft Dynamics 365 Dynamics 365 is Microsoft’s new suite of integrated business applications in the Cloud.

Dynamics 365 brings together what were previously separate applications for CRM and ERP into a single integrated solution. This approach empowers employees to be more productive by eliminating the need to replicate data in separate applications, whilst empowering the production of analytics based on data from across the whole business. In tandem with creating this new integrated approach, Microsoft has made its licencing more granular. As a result, customers can choose to implement separate areas of functionality at different times or even limit its use of Dynamics 365 to just one area. This is particularly relevant to customers who want to use Dynamics 365 as the basis for their CRM solution and this is Crimson’s primary focus.

Dynamics 365 Licencing Dynamics 365 is licenced as separate Applications or Apps for short, where each App provides a discrete area of functionality. Even where customers are just interested in CRM functionality, this approach is beneficial because over recent years CRM has grown tremendously to include capabilities in marketing, sales, customer service, field service and project automation. It is unlikely that many organisations would want to use all this functionality at any one time and possibly never. As a result it was becoming increasingly inappropriate to licence the whole of CRM via a single licence.

As the functional scope of Dynamics CRM has grown over recent years new capabilities in marketing, service delivery and social engagement became available as licenced add-ons or as part of an Enterprise user licence. Within Dynamics 365 CRM these have now been bundled into the new Apps so that Social Engagement, Unified Service Desk, Interactive Service Hub, Voice of the Customer surveys and Power Apps are now all included in the Full user licence. Portal capability, also a previous addon to core CRM licencing, is now included as part of the Full user licence.

Dynamics 365 CRM is now licenced via a range of Apps including Marketing, Sales, Customer Service, Field Service and Product Service Automation. Each App can be purchased separately for any number of users so that customers can match their licence spend more accurately with the functionality required. Dynamics 365 CRM is also available as a Plan licence which incorporates Sales and all Service Apps in a single licence, making this a more cost efficient method of licencing users whose functional requirements span multiple Apps.

Marketing functionality is now available as part of the Sales App and as a separate App in its own right. Within the Sales App, all the previous marketing module functionality is available including campaigns, marketing lists, campaign activities and campaign responses. The Marketing App provides new and exciting email marketing Optimisation and marketing automation functionality via optional plug-ins from specialist marketing partners including Adobe and Click Dimensions. User Licencing Dynamics 365 CRM has also brought a much-needed simplification to the types of user licences available and their associated functionality. Previously 4 user types had evolved including Enterprise, Professional, Basic and Essential. This has now been replaced by just 2 licence types providing either full or light use functionality. The Full licence type can be purchased either for separate Apps or as a Plan licence and provides full administrator access to functionality defined within the relevant App or across all Apps included in the Plan. As outlined above this licence now includes the full range of service and social engagement functionality which was previously only available separately or as part of the enterprise licence. The Full licence also includes Team Member licence rights to all parts of Dynamics 365 (defined below).

The light use licence is known as a Team Member licence and introduces a new concept in user licencing. As the term Team Member implies, this is designed for staff who are not heavy users of functionality in a specific functional area, but are “members” of that team in as much as they need restricted access to records, activities, reports and dashboards. The Team Member licence provides limited use access to customer records and read only access to all other parts of Dynamics 365.

It is likely that most customers will require a mix of Full and Team Member licences with a substantial number being Team Members.

Crimson Dynamics As a result of its specialisation in certain business areas, Crimson has developed its own range of software which adds application-specific functionality on top of that provided by core Dynamics 365 CRM. Known as Crimson Accelerators, these are a range of functional applets which simply plug-in to core Dynamics 365 CRM to extend its capability in specific process areas. The table below lists the Crimson Accelerators available together with the Dynamics 365 CRM App licence which they need to deliver Full user capability. Accelerator functionality is also accessible by Team Member licenced users, but with corresponding restrictions in use.
