Q3 2017 UPDATE Date or title EXECUTIVE SUMMARY We are on track for our Epic Go-Live this month.   

Work teams completed IT and User testing phases. All Training Environments are upgraded by July 9th. Training teams will continue preparing users for the upgrade.

The Go-Live downtime is scheduled for July 23rd from 12:01 a.m. to 2:00 a.m. We are now preparing the system for Go-Live. As part of our preparation, each Region will be leveraging their Super Users, Informatics and Leadership for local support during Go-Live.

N NEED TO KNOW Go-Live Downtime Information Sunday July 23rd Go-Live Details There will be a 2-hour downtime from 12:01 a.m. – 2:00 a.m. on Sunday July 23rd. At this time, the system will be unavailable while IT upgrades Epic’s Production Environment. As usual, issues will be prioritized through the Service Center, but IT will have heightened coverage during this time. Regions will also want to ensure sufficient Super User Coverage during Go-Live. Clarity Reporting Downtime July 23rd, 12:01 a.m. – July 26th 5:30 a.m. As part of the Epic Upgrade, there will be a mandatory downtime for Clarity Reporting.  This means that the Clarity Production Environment will be unavailable for users to run reports during this time.  No scheduled Clarity jobs will be delivered until the upgrade is complete.  Please see FAQ document for more information. Sunquest Lab Downtime July 23rd, 12:01 a.m. - 4:00 a.m. The Sunquest Lab System will also have a downtime for their concurrent upgrade project. It will also begin at 12:01 a.m. and is estimated to last 3-4 hours.

PRODUCTION FREEZE On July 7th, a Production Freeze will go into effect. In order to maintain the integrity of the system leading up to the Upgrade, changes to the production environment will be limited. You can read more about the details of this freeze by clicking HERE. This Production Freeze includes Clarity Reporting change requests as well. *Please be assured that the freeze does not preclude the fulfillment of necessary security requests.

PHASE 3 - UPGRADE OPTIMIZATIONS As you know, three phases were built-into the 2017 Upgrade: 

Phase 1: Implementation – July 23

Date or titleEpic including all automatic changes from two releases and enhancements prioritized by governance groups and Upgrade deemed feasible based on our timeline.



Phase 2: Stabilization – August One-month Post Go-Live, stabilize operations and resolve upgrade issues.



Phase 3: Optimization-September – December 2017 Identify optional/desired changes that could yet be accomplished by the end of the year. IT teams will be finalizing the Scope for Phase 3 work as final governance decisions are made.
