Office Management Coordinator (Part-time) at the German American Chamber of Commerce of the Southern U.S., Inc. - Houston Office The German American Chamber of Commerce of the Southern United States (GACC South) is a private, nonprofit organization which serves as the official representative of German industry and trade in the Southern United States. Our main mission is to promote and support bilateral trade between Germany and the U.S. Our services focus on the areas of Consulting (U.S. Market Entry, Business Representation, Site Selection, and Career Services) and Membership. W e are part of an international network composed of 130 German foreign chambers of commerce and government offices in 90 countries. We are seeking a part-time Office Management Coordinator for our Houston office (approx. 20 hours per week). Our Houston office is a branch of our headquarters in Atlanta, GA and is responsible for the states Texas, Oklahoma, Louisiana and Arkansas. It has 5 team members. The position reports directly to the Managing Director, Houston Office. Your job responsibilities include but are not limited to:  Assist Director in various functions as needed: travel expense reports, mileage log, RSVP’s, credit card statements.  Process and route incoming and outgoing mail in a secure and safe manner.  Follow procedures for retention, protection, retrieval, transfer, and disposal of records in collaboration with Administration Department in Atlanta.  Review and fulfill supply requests. This includes office and kitchen supplies, MRO, and others.  Maintain and update bulletin board for sharing company information with all staff and subtenants.  Reconcile daily charges and cash, checks and bankcard payments.  Prepare bank deposit and deposit summary after balancing payments to receipts.  Generate and send out invoices and/or reminders to customers.  Collect all semi-monthly payroll information from Supervisors. This includes checking of timecard completion, and any other payroll related information between Houston and Atlanta.  Prepare New Hire paperwork kits and send complete new hire information to HR for timely processing.  Process confidential information without compromising the nature of the material of information.  Coordinate and participate in employee relation’s events; prepare birthday, anniversary, farewell cards for signatures.  Assist with event planning and coordination. This may include, at times, working attendance at events.  Administration of event website and newsletter, including content creation.  Preparation of event materials and handling event registrations.  Keep record of event statistics incl. finances. Qualifications:  Completed studies in Business Administration, Accounting or Finance  Valid U.S. work authorization required  3+ years general business experience or administrative experience supporting senior management required  Excellent organizational and time management skills and high attention to detail  Proficient computer skills: Microsoft Word, Excel, PowerPoint and Outlook  Excellent communication, analytical skills and interpersonal skills in English and German  Must be able to work well with stringent deadlines  Ability to work with minimal supervision and to use own initiative  Customer and service minded  Team- and results-oriented Start Date: ASAP Location: Houston, Texas, USA Compensation: Hourly How to apply: Please email your application to Katrin Gillespie, Director HR, at [email protected] (cover letter, two references and resume attached).
