In this guide you will learn about: • The possibilities and limitations of the Presenter role • Promoting Participants to Presenter status • Auto-promoting Participants to Presenter status • Saving Share Pod content • Saving Note Pod content • Uploading files to the File Share Pod

Roles in Online Rooms In Online Rooms there are three roles that Attendees can be assigned - each with varying privileges. - The Host is the creator and facilitator of the meeting. They are in complete control over the session, all user privileges and promotion as well as all meeting setup options. - The Participant is the most junior role. The Participant role is the most limited in regard to privileges. Participants can view the presentation and hear any audio but are unable to make any changes. - The Presenter is a middle tier role and most of the privileges associated with this role relate to presentation of materials; Presenters can activate their own microphones and webcams, control presentation materials, share their own screen, upload files for attendees to download, and contribute to (and save) the Notes Pod. They cannot control any administrator aspects of a room or switch between Layouts.

The Presenter Role Promotion is as simple as the Host scrolling the cursor over your name and selecting Make Presenter.

To promote all Participants to Presenter the Host can select “Auto-Promote Participants to Presenters”.

Rapid demotion of Presenters is can be achieved by holding the SHIFT key and selecting multiple Attendees. Hovering over will then reveal the Make Participant option.

Once this has occurred you will notice a change in the options that are available to you. At the top of your screen you will now have a microphone and webcam icon and you can use these to activate your microphone and webcam to communicate with the rest of the group.

In the main Share Pod you will now be able to control the presentation as well as enable Drawing Tools - these can be used to annotate slides or bring attention to anything important.

You can also Save a PDF copy of Whiteboards. Select Print from the Pod Options and then select Adobe PDF as your Printer.

Presenters are also able to contribute to the Notes Pod as well as saving copies of the Note Pod’s contents by Exporting the note as an RTF file.

In the File Share Pod you will be able to upload files for other Attendees to download.

As a Participant in a session you may get promoted to Presenter status if you need to present to the rest of the Attendees. You may also experience Presenter status through a function of Online Rooms called Breakout Rooms which is designed to allow you a space inside a training session, meeting or presentation to break into small groups. This tool essentially splits the online environment into a range of separate rooms. When Breakout Rooms are activated all Participants are promoted to Presenter status for the duration of the Breakout Rooms activity. Online Rooms is designed to be a very collaborative space and the Presenter role is a great way to take advantage of some of those features.
