Online Rooms Getting Started

What is Online Rooms? Online Rooms is the TAFE Queensland web conferencing tool, powered by Adobe Connect, which allows your teacher to collaborate with you and other students in your course. An Online Room class is based on specific viewing and accessibility setup. You may be sent a link to the room by your teacher, or you may access the room from a link within the LMS, Connect. Your teacher will advise you of how and when your room will be available. As a participant you can view the content that your teacher is sharing, hear, and see their audio and video broadcast, and use text chat. Students can also mute audio broadcasts on their computers.

Setting up your computer or device Equipment

Computer or device with internet access (minimum 512 Kbps) Please note: Adobe Connect is designed to use a maximum of 512 Kbps per session.

Headset (headphones and microphone). Tip: Make sure your headset is connected to your computer before you start the setup.

Connection test

Test your computer for Adobe Connect to confirm if your computer / device has all of the pre-requisites:  the correct version of Adobe Flash Player 13+  the connection speed to participate in Adobe Connect  type of connection speed  the Adobe Connect Add-in. You’ll need Adobe Connect Add-in to allow you to share your screen. If you don’t already have it you will be prompted to install. Please note: You will need at least 14MB free on your computer or the add-in will not install. Tip: You will need to allow Pop-ups to install Add-In

Ensure Pop-up blockers are turned off. If you have pop up blocker enabled, the dialog box for downloading the Add-in may not appear. For example in Chrome: Ensure that you have selected ‘Always allow pops’ option.

Adobe Connect app (free)*

Mobile devices (including smartphones, iPads and tablets) require the Adobe Connect app. iOS devices – Adobe Connect Mobile Download app from iTunes (Requirements: iOS 7.0 or later) Android devices Download app from GooglePlay (Requirements: Software Version 3.2 or higher)

Audio

It is best to check the audio set up on your computer:  Start > Control panel > Sounds and audio devices > Audio tab. Make sure your devices are selected in the Sound playback and Sound recording areas.  Or right click on the speaker icon to check your computer’s Volume Control Options.

The first thing you should do when you access an Online meeting room is run the Audio Setup Wizard. The wizard guides you through four steps in which you are asked to test your speakers, select a microphone, and optimise the audio. This will ensure that you can hear and be heard.

When you get to Step 4 ensure that blue bar is filled before selecting ‘Next’.

When your teacher enables your microphone you can connect your audio by selecting microphone and then Connect My Audio

Your microphone will turn green to indicate your audio is connected. Tip: After you connect your audio other attendees will be able to hear you so it’s a good idea to mute your microphone (audio menu, select mute my microphone) until you are ready to speak.

Webcam

You can easily share your video via a webcam. To do this, make sure your webcam is plugged in and click either the webcam button or the Start My Webcam button within the video window. Note: You may be prompted need the Adobe Connect Add-in.

To start click ‘Start My Webcam’, then ‘Start Sharing’. To Pause your video hover over your name (in the bottom left of the screen) until a pause icon displays and select Pause. To stop click the ‘Stop’ icon. Tip: For better performance and reduced bandwidth usage when sharing your web cam, select ‘Start Addin’ if prompted. Tip: It’s best practice to limit the amount of Webcam sharing and instead use a paused image of yourself.

Adobe Connect Diagnostic Test Running the Adobe Connect Diagnostic Test will help to identify any configuration issues. It’s highly recommend that you run this test before using Online Rooms. https://onlinerooms.tafeqld.edu.au/common/help/en/support/meeting_test.htm The diagnostic test checks for the following: 1. Clear connection to Adobe Connect 2. Bandwidth availability 3. Latest Adobe Connect Add-in

Please note: If prompted click Install Add-in. When the pop up screen appears click Yes.

This webpage also lists some useful trouble shooting information to assist including meeting login issues, problems running a meeting, content issues and broadcasting camera and audio. Don’t forget that once you’re in your Online Room you can access tips about how to use Adobe Connect. They will be displayed when you first join the room. Click Next to view more.

When you're done with hints and tips, click the 'x' in the top-right corner to dismiss.

You can also access additional help in Online Rooms by clicking on the Help menu (top right hand side of meeting room screen).
