OUTREACH & PROGRAM COORDINATOR APPLICATION DEADLINE: January 31, 2017 START DATE: February 2017 DURATION OF EMPLOYMENT: 13 months (February 2017 to March 2018) TERM: Part-time, approximately 3 days/20 hours per week SALARY: $27,170 LOCATION: York Region Arts Council Office, Newmarket, Ontario JOB DESCRIPTION: The York Region Arts Council (YRAC) is accepting applications for an Outreach and Program Coordinator to work on its York Region Festival Alliance (YRFA) portfolio. Reporting to the Executive Director and YRFA project lead, the Outreach and Program Coordinator will provide a broad range of administrative services that supports YRFA marketing and communications, member and partner relations, program development and delivery and other related outreach activities. The primary objective of this position is to assist the YRAC team grow its YRFA initiative to positively impact the York Region festival and event sector. The successful candidate will possess a can-do attitude, thrive in fast-paced environments and feel comfortable communicating with a diverse group of stakeholders. KEY RESPONSIBILITIES AND DUTIES: 1. Member and Partner Relations: • Be the first point of contact for YRFA members and partners via phone and email  Create and issue member, partner and vendor contracts  Manage databases and track information related to members, partners and vendors  Implement the new supplier program  Meet and consult with YRFA members on an ongoing basis 2. Outreach, Marketing & Communications:  Assist with content creation and scheduling of campaign material for web and print  Manage content on yorkregionfestivals.com weekly  Develop outreach plans as well as create resources to share with YRFA members  Deliver, or assist in the delivery of presentations to stakeholder groups  Track results based on set key performance indicators and progress measures  Communicate impact of campaigns and programs to members and broader community  Distribute marketing materials to stakeholders and at key locations within York Region

Program Development & Delivery:  Assist with the coordination of professional development workshops targeted at festival and event organizers  Source, contract and liaise with workshop speakers  Schedule workshops, coordinate venue, setup and workshop materials  Work closely with festival members on the development of the 2017 Festival Trail, YRAC’s signature event in celebration of Canada’s sesquicentennial  Attend workshops and member festivals and events QUALIFICATIONS:  Completion of a Bachelor’s Degree or College Diploma in Public Relation, Marketing, Communications, Event Planning or equivalent  1 to 3 years experience in a relevant environment  Thorough understanding of outreach, communications and public relations  Experience and understanding of social media platforms such as Facebook, Twitter and Instagram  Demonstrated computer skills with word processing, spreadsheets and databases software including MS Word, Excel and Powerpoint  Understanding of design principles and experience using Photoshop, Illustrator, InDesign and related design software would be an asset  Experience with email distribution programs and familiarity with backend website (Wordpress) functions considered an asset  Excellent oral and written communications skills  Detail oriented  Energetic and positive team player  Ability to work flexible hours including evenings, weekends and holidays  Sensitivity to cultural issues and ability to work with diverse clients and audiences

ABOUT YRAC & YRFA: The York Region Arts Council (YRAC) is a non-profit charity with a mission to nurture York Region's social and economic potential by supporting artists, creative entrepreneurs, cultural organizations and tourism operators through marketing, education, consultation and networking programs and services. The York Region Festival Alliance is an initiative of the art council. Having formed in 2015 as a result of a four-year Ontario Trillium Foundation Grant, the YRFA is a recognized, though still new, project and currently has over 20 York Region based festival and event members. The goal of the YRFA is to strengthen the York Region festival sector and viability of individual volunteer-run festivals by creating top-of-mind awareness of local festivals among York Region residents and attracting cultural tourists from York Region, the GTA and beyond.
