Title: Administrative and Operations Manager Location: Awaken Community, St. Paul, MN Employment Status: Full-Time (40 hrs/week) Job Description: The Administrative and Operations Manager is responsible for the effective coordination of office, software, facility, and volunteer related operations at Awaken. They will manage operational details of an active and moving ministry and serve as a main support function for those in leadership and volunteer positions. This includes maintaining church databases, assisting ministry staff and volunteers with administrative tasks, interacting with the volunteers and general public, serving as facility manager, and assisting with various duties as time allows. Primary Responsibilities: • •

Oversight and administration of CRM database as “super user” including Church Calendar and individual profiles Schedule and coordinate volunteers for serving ministries and assist with overall coordination of weekly worship schedule (Critical Services, Hospitality, Communion, Community Life, Counting, Discover Awaken Booth, Nursery, and Kids Community) Oversee and manage background checks for volunteers in Nursery, Kids Community, and with Students Work closely with Core Team ministry leaders to ensure volunteer needs are met Work with Communications team for weekly announcements and the Awaken Weekly newsletter Purchasing and management of all facility supplies including: Coffee, cups, filters, cream/sugar, paper towels, toilet paper, trash bags, cleaning supplies for bathrooms and general areas, etc. Help create weekend playlist and slides in ProPresenter for tech team and worship teams Perform Sunday morning operations duties (i.e. unlocking and locking building) Ensure that payments are arranged and made for all parties needing payment on Sunday mornings (band, worship team, sound techs, guest speakers/worship leaders) Coordinate all logistics and schedule for weddings; liaison to wedding party/bride from Awaken during the initial process for tours and questions; schedule associated duties, paperwork, and deposits Manage and oversee the Partnership (“Membership”) process Keep open agendas for upcoming Staff and Core Team meetings and disperse to teams accordingly Manage Lead Pastor’s weekly “to-do’s” associated to Ministry Objectives Respond to ad-hoc requests to assist in a growing church

Required Qualifications     

2+ years’ experience in a similar role or capacity Proficiency w/ computer programs (Microsoft Word, Excel, PowerPoint and Apple Pages, Numbers, Keynote) and administrative database programs (CRM, event management) Ability to multi-task, quickly change direction and independently prioritize work in order to support multiple people Ability to anticipate needs and use independent judgment to make decisions given limited availability of leader Ability to exercise discretion due to accessing and handling sensitive information

Preferred Qualifications • • • •

Associate (2-year) degree, in-progress bachelor’s degree, or equivalent Experience with database management: CRM-type system (Church Office Online or similar) Experience with event planning and management (Planning Center or similar) Experience with Ministry related applications (ProPresenter, Clover, Greenhouse or similar)

Scope: • • •

Reports to Lead Pastor Supports Staff, Core Team, and Pastoral Advisory Team (PAT) as deemed necessary by Lead Pastor Works with all ministry team leads including Communion, Coffee, Critical Services, Counting teams, Kids Community, Discover Awaken Booth, Communion, Prayer

Accountability: • • • • • • •

Daily office hours at Awaken, 5 days per week including Sundays Monthly Core Team meeting (Tuesday Evening) Annual Leadership Retreat (August) – optional Weekly one-on-one with Lead Pastor (flexible timing) Weekly staff meeting (Wednesday) Monthly check-in with each ministry leader Ability to attend meetings with ministry leaders early mornings and evenings
