Director of Operations & Facilities/JOB DESCRIPTION: FULLTIME, EXEMPT POSITION This management role is subject to a 3 month probation period . Backgound: Founded in 1971, The Bronx Museum of the Arts is a contemporary art museum that connects diverse audiences to the urban experience through its permanent collection, special exhibitions, and education programs. The Museum houses a growing collection of over 1,200 contemporary works of art and presents an average of 10 annual exhibitions, which require a stable environment for display and preservation. Additionally, with more than 80,000 annual visitors, maintaining a pleasant environment for visitors and staff is essential. Integral to this, is the operation, maintenance and repair of a the Museum’s Heating, Ventilation, and Air Conditioning (HVAC) system and the supporting equipment such as chillers, cooling towers, pumps, heat exchangers, valves, air handlers, and associated systems. As well as maintaining the cleanliness of the building’s interior and exterior spaces. Outline of Role: Full-time position. The appointee will be responsible for all maintenance aspects of the Museum’s two buildings and adjacent lots & facilities. Oversees building operations and physical facilities maintenance programs; ensures that building systems (mechanical, electrical, plumbing, HVAC, fire protection, life safety, etc.) are safely, economically, and efficiently operated and maintained in accordance with recognized standards and practices; provides direction to custodial function to maintain the cleanliness of public and non-public areas; conduct daily inspections of facility spaces to ensure high standards of appearance and readiness are maintained; supervise all vendor contracts associated with structure maintenance and operations including, janitorial, fire detection, fire protection, elevators, HVAC, audio/visual, electrical and mechanical; respond to all building system failures, diagnose their cause and supervise all activities required to restore proper operation. Demonstrated experience and current NYS certification in HVAC equipment and servicing is an essential requirement. Responsibilities: The director of operations & facilities , reporting to the Deputy Director, is responsible for managing the Museum’s buildings and physical plant assets and facilities, and all activities relating to the (i) day to day operation, (ii) regulatory compliance, (iii) scheduled repair, maintenance and servicing, and preventative maintenance programming, and (iv) oversight of technical and construction aspects of any capital projects or expansion of the Museum’s buildings and physical plant assets and facilities. Such facilities include the two buildings and the adjoining back lots that the Museum operates in and all of the physical plant within or outside the buildings, including the elevators; audio visual equipment; air conditioning and heating plant and equipment; plumbing fittings and infrastructure; electrical fittings, wiring, lighting and other electrical equipment, excluding computing and IT equipment and installations; all other building fixtures, fittings and components, such as flooring, roofing, walls and ceilings, doors, windows, ramps; security camera and alarm systems; staging, tables, seating and other office and building equipment used in the Museum’s regular activities or its rentals business.

The Facilities Manager’s responsibilities will include the following:

Management and support for all major aspects of the Museum’s buildings and facilities, including the air conditioning and heating systems, elevators, plumbing, electrical equipment and systems, security camera and alarm systems, gallery lighting and audio visual systems, and critical building installations such as roofing, exit and entrance ways, doors and windows, and bathroom and other building service facilities. The director of facilities and operations, will be responsible for establishing sensible priorities and budgets for these programs that are consistent with the Museum’s annual operating budget and financial position. The director of operations and facilities responsibilities in relation to the air conditioning and heating equipment includes all of the following equipment and installations in the Museum buildings: compressors, boilers, feed units, water softeners, air dampers, circulating pumps, exhaust fans, split systems, fan coil units, chillers, cooling tower, air handling units, and roof top AC units. Ensuring the effective, budget compliant, and cost efficient day to day operation of the Museum’s buildings, plant and facilities, as well ensuring that they are maintained in a clean and attractive state. Ensuring that the Museum is fully compliant with all City, State and federal governmental and agency regulations affecting the Museum’s plant and buildings and their lawful operation (including elevators, and fire and building permits). Establishing and regularly testing evacuation and emergency preparedness plan for the Museum that is effective and compliant. Overseeing maintenance staffing’s equipment and facility set-up and take-down for all Museum rentals, in addition to internal meetings, openings, and other public events. Manage and report on the activities and operation of the maintenance departments, including oversight of staffing rosters, leave schedules and reporting, payroll supervision and other internal reporting. This responsibility includes completion of annual staff reviews for operations department staff. Oversight and/or completion of all carpentry, electrical, plumbing, and other building repairs, maintenance and servicing work that is required. Where external contractors are required, the director of operations and facilities is responsible for scoping the work required, obtaining at least two quotations from recognized contractors, appointing the preferred contractor after consultation with Deputy Director, and overseeing the completion of the work. Keeping all walkways and entries clear and maintaining good handicapped and safe public access to the buildings, in addition to maintaining grass, flowers, shrubs and trees, keeping the grounds free of debris, and maintaining proper settings on external light timers Establish and oversee building maintenance supplies purchasing and inventory system to ensure necessary stocks are on hand. Establish and oversee inventory system of tools and equipment used in building maintenance and repair. Purchase and maintain tools and other building maintenance equipment Actively participating in organizational goal setting and strategic planning including future building plans

Qualifications and requirements:  Certification and licensing in all relevant technical areas of responsibility; including (i) COF for Sprinkler operation; (ii) COF for Fire Alarm operation; (iii) Universal CFC Certification; and (iv) Facilities Management Certificate  Strong mechanical abilities and familiarity with low pressure boiler systems and commercial air and cooling systems  Demonstrated expertise and experience in managing large facility operations and plant and equipment with a minimum of 5 years of relevant experience involving operation and maintenance of art museum, art center, or comparable commercial facility  Must be available on an “on call” basis to deal with all building emergency situations

Ability to select and oversee external contractors and/or to make necessary carpentry, electrical and plumbing repairs without assistance Strong communication skills and ability to deal with direct reports, management colleagues, community residents, as well as regulators and external parties Ability to work independently, under pressure and to tight deadlines Ability to work in a fast-paced and complicated environment Detailed oriented with solid organization skills Proficiency in Word and Outlook. Experienced operator of HVAC BMS (IT) systems Current New York State driver’s license Fluency in English language
