Position Details: Job Title: Project Manager Position Length: Contract (12 months) with possibility of extension Reports to: Senior Director, Integrated Communications and Public Affairs For over a decade, CivicAction has brought together senior executives and rising leaders from all sectors to tackle the biggest challenges facing the Greater Toronto and Hamilton Area (GTHA). Every four years, CivicAction holds a summit to put our finger on the pulse of the GTHA to set our agenda for the next four years. Out of the summits, CivicAction builds multi-sector partnerships and takes action through campaigns, programs and organizations that transform our region and make it a better place to live. With our next summit planned for the spring of 2019, CivicAction is seeking an experienced Project Manager to provide leadership on the planning and execution of the summit including pre-summit research and engagement, event logistics, and post-summit reporting and evaluation. The project manager will also support other signature CivicAction events as needed. Key responsibilities include: Consultation, event design and content development    

Working with the communications team, develop creative ideas to engage the region/crowd source potential topics for the summit. Develop and execute a consultation plan involving key partners and stakeholders to determine what topics will be on the summit agenda and the design of the day. Work with CivicAction staff and key partners to frame the issues, determine desired outcomes, and the tactics to achieve those outcomes. Working with content partners, project manage the creation of pre-read materials and research.

Event logistics    

Develop the agenda and flow/design of the day. Source and coordinate venue, catering, AV, signage, SWAG, and photography. Working with CivicAction staff, create a guest list framework and invitation strategy and execute against it. Identify and secure speakers and subject matter experts.

Communications and Partnerships  

Working with the communications team, project manage deliverables related to branding, marketing, and promotion of the summit. Working with the Director of Development, identify prospects and develop materials related to fundraising activities. Working with the communications team, develop the post-summit action report and distribution plan.

Qualifications: 3-5 years’ experience in project and/or event management. Academic background or accreditation in project management an asset. Interest and/or familiarity with civic and community issues in the Greater Toronto region is preferred. Skills & Abilities:      

Strong relationship management skills and ability to inspire action, drive change, and bring diverse groups together. Excellent team player who can effectively balance “getting stuff done” while building strong relationships with colleagues and partners. Effective communicator with strong writing and speaking skills who uses creative approaches to communicate and engage with diverse audiences. Experience procuring and managing external vender relationships. Ability to develop/use systems to organize and keep track of information or work progress. Ability to prioritize tasks in a fast paced, changing environment.
