Project Server Plus Risk to Issue Escalator User Guide v1.1

Overview The Project Server Plus Risk to Issue Escalator app will immediately raise a risk to an issue at the push of a button. Available within the Project Web App or the project site, the app allows you to select any risk and instantly escalate it to an issue and copying over all the associated data. The app also includes Lync integration to improve communication within the PMO. The Risk to Issue Escalator will:  Quickly and easily escalate risks to issues  Automatically maintain and populate all key data  Ensure data integrity  Save you time The Project Server Plus Risk to Issue Escalator app supports, English, Dutch and Swedish.

Getting Started Once the Site collection administrator has loaded the Risk to Issue Escalator app on to the Project Web App and assigned you a license you will be able to follow the steps below. There are two ways in which the app can be accessed, the default method is via the Project Center Projects ribbon. The other option is to add the Risk to Issue Escalator app to the individual project sites. Firstly we will look at the default method. Once loaded into the Project Web App navigate to the Project Center and click the Project ribbon. You will see the Risk to Issue Escalator button to the far right:

Click the Risk to Issue Escalator button and you will be directed to the Risk to Issue Escalator app page, you might be prompted for credentials depending on the browser settings:

Click the button next to the Select Project box and you will see a list of projects to select. This list is filtered to projects you have access to in Project Online / Project Server 2013:

If you have access to many projects, you can you the search option to filter the list of projects:

Select the project and click the Select Project button:

Clicking the Select Project button will carry out two actions, it will load the risks associated with that project into the risks table in the app page and also add a new column called EscalatedDate to the risk list on the project site. Risks loaded:

The users Lync presence is also displayed in the app.

For the Lync presence to work, the App Web URL will need to be added to the Internet Explorer Trusted site zone with the security level set to low.

If the current user has access to the project and project site but only as a Team Member they will not have the correct access to create the new column on the risk so will see the warning below. In this example we switched to a different user and project:

The current user is only a Team Member on the SharePoint App project and this is the first time the Risk to Issue Escalator app has been run for the SharePoint App project. Clicking OK allows the user to select another project if they wish. This time I will select the Microsoft Exchange Online migration project, the current user is only a team member on this project but this time the app will load the risks and enable the user to escalate. This works for this project because the EscalatedDate column has already been created for the risk list on the Microsoft Exchange Online migration project site and team members by default do have access to edit and create list items on the associated project site.

Before we escalate a risk, as you see there we three buttons available, Filter Risks, Escalate Risk and Exit. Filter Risks enables you to filter the table of risks if you had many risks in the table:

It is possible to add up to five tests in the filter. If you apply a filter the table title updates to include (Filter Applied):

The Exit button will exit the Risk to Issue Escalator app and direct you back to the Project Web App. The Escalate Risk button is disabled until a risk is selected, selecting the risk enables the Escalate Risk button:

Click the Escalate Risk button and a new form will load:

The data from the risk item will copy to the columns on the issue item, the column mappings are below: Risk Column Title Owner Assigned To Category Description Due Date Related Items

The data can now be modified before creating the issue item. Once the data is correct click the Escalate button:

A pop-up will appear to state the escalation was successful:

The risk will now display the Risk to Issue Escalation icon to indicate it has been escalated and also the Status column will update to closed. The issue list will now contain the new issue with the risk data. Hover over the Risk to Issue icon to see the escalated date:

The Risk to Issue Escalator app can also be accessed from the project site, once the site collection administrator has added the app to the chosen project site it will appear on the quick launch:

Click the link to load the Risk to Issue Escalator app:

When the Risk to Issue Escalator app is accessed from a project site it filters for that project automatically and loads all of the risks from that site. The rest of the functionality is the same as described when access the Risk to Issue Escalator app from the Project Center.
