Recreational (House League) Administrator

The Burlington Youth Soccer Club, a not for profit organization, was established in 1962. Today, the BYSC has more than 7,900 female and male youth soccer players and is one of the largest amateur sport clubs in Canada. BYSC is one of the original Ontario Player Development League (OPDL) license holders and will field teams in three age groups (U13-U15) in 2016. BYSC established the Burlington Bayhawks brand in 2012, led by Burli, our mascot, to expand our reach into the local community. BYSC hosts a robust indoor and outdoor house league program for players U3-U21 and development programs for players at all stages. The Club is proud of its competitive team successes over the years, which include 43 provincial championships and 11 national championships. Burlington Bayhawks players have gone on to play on the international stage for Canadian and other national teams, at NCAA and CIS institutions and professionally. The Club partners with the City of Burlington on facilities and operates three inflatable domes from October – April at Sherwood Forest Park. Reporting to the Operations Director, this position is responsible for coordinating the indoor and outdoor recreational leagues by rostering approximately 6000 players to teams, recruiting and assigning coaches and ordering uniforms for the BYSC house league program. Accountabilities Coordination and scheduling of House League teams  Assist with player recreational leagues registration  Develop teams per division  Assign players, taking into account special requests from parents  With the Foundation Phase Manager - Recreation, consider player ratings for each age division.  Recruit almost 800 coaches and convenors, assign to teams/age groups.  Work closely with House League Convenors before and during the House League Seasons  Ensure volunteers complete necessary screening/police checks  Handle a large volume of customer service issues in a timely manner through emails and phone calls  Track player discipline Budgets  Forecast enrollment and costs for recreational league to ensure meeting revenue targets  Determine facilities costing  Work closely with the Foundation Phase Manager - Recreation, on building upcoming years’ program budget for uniforms and equipment  Organize uniforms, equipment, and award distribution for all age divisions while coordinating requisite sponsorship deliverables

Coordination and scheduling of facilities - Indoor and Outdoor  Assign playing nights and with the Operations Administrator, determine field locations per age group  Reschedule games  Coordinate the play-off schedule and post-season scheduling/management Indoor & Outdoor Events  Plan and assist in running Fun Fair, season kick offs, photo days, season ending events  Attend and assist with Club events as needed Competencies & Requirements            

Must be an excellent team player to work across the organization with staff, coaches, referees and volunteers Solutions-driven, ability to work under pressure Customer-service focussed Previous experience in scheduling and registration software with demonstrated proficiency in Microsoft programs required, particularly Excel Experience helping to build and managing budgets Knowledge of LTPD soccer requirements Demonstrated discretion and sound judgment in the handling of confidential information, this includes a high degree of integrity and trust Strong analytical skills in order to resolve issues and evaluate possible solutions Exceptional organization and time management skills required to meet tight deadlines A post-secondary degree or diploma in Business Administration or Sport Management with 2 to 4 years of experience or equivalent combination of education and experience preferred. Non-traditional and extended hours of work as required. Experience in the sport and/or not for profit sectors is an asset.
