Welcome to the latest edition of Heartbeat, your Organising for Excellence newsletter. Alongside our update on Leaner and Fitter, we would like to update you on Shaping Our Future Wellbeing; the 10 year Clinical Services Strategy.

Shaping Our Future Wellbeing Thanks to the support of our staff and local community, the Shaping Our Future Wellbeing Programme is progressing well. Since our update in issue 15, we have run six workshops addressing our initial areas of focus. The workshops brought together people who use our services, a wide variety of clinicians and managers who provide our services, as well as third sector representatives. Each workshop began with a patient story, and then explored the meaning of our principles: • • • •

Empower the person Home first Outcomes that matter to people Avoid harm, waste and variation

Working together we discussed how, if we truly put the person at the centre of our care, made the best use of technology, and found new ways of working, we could provide our services differently in the future and so improve our population health and wellbeing. As shown above, each workshop was recorded in the form of visual minutes. A first draft of these models will be presented at the Clinical Senate on February 27th and again at a drop in event on 13th March.

Leaner and Fitter Project Update Are you clued up on E-Datix yet? Paper forms to report incidents will soon be a thing of the past – as the UHB moves towards a new electronic system. E-Datix is being gradually rolled out over the next few months, with the Critical Care Directorate the first to use the system on 28th January 2015. The remaining directorates within Specialist Services completed implementation of the new system on 11th February 2015. To find out when your Clinical Board will implement the system, a schedule is available on the E-Datix intranet page. Surgery Clinical Board will commence implementation on 2nd March 2015. Chief Executive, Adam Cairns, said: “Moving to an electronic incident reporting system will help the reporting, investigation and management of incidents become quicker, easier and more efficient. It will reduce paperwork and strengthen the entire process, allowing staff to concentrate their time on providing the best service possible with improved clinical risk information available to them.” The new web-based system allows staff reporting an incident to directly record the details themselves, using an electronic form on any networked computer system in the UHB. Each incident will be reviewed electronically by relevant department managers who will have the opportunity to amend and add additional information to the incident form. They will also have easier access to information to allow them to feedback to staff. As the incident details are immediately visible within the database, incident management processes across the UHB should become more timely and robust.

Moving to this new system brings many benefits for incident reporters, line managers, the wider UHB and, ultimately, patients. The system will allow real time reporting cutting down on time delays from incident to outcome. This helps increase confidence in the users being able to see concerns being acted on swiftly and promote uptake of use. Each Clinical Board has a representative on the E-Datix Project Board and a nominated Super-user. These representatives will be your ‘go-to’ person for any E-Datix issues.
