VENTURE13 PROGRAMS AND OPERATIONS COORDINATOR PERMANENT FULL TIME (External Posting) Reporting to the Manager of Economic Development you will be responsible for coordinating the day-to-day operations, client services, technical and marketing activities within the Venture13 Innovation Centre. Responsibilities will include administration and client support to the Town of Cobourg, Economic Development Department and outreach to attract events and activities that complement the vision of V13. Responsibilities: 1. Client Services:      

Provide client services and support to the Economic Development Department. Provide back-up support to Economic Development in absence of the Small Business Facilitator. Provide onboarding assistance to Venture13 business start-ups. Maintain computerized and hard copy filing systems. Act as the central booking agent for V13 tenants and clients maintaining the booking software program. Prepare rental agreements, identify and respond to client needs for bookings including audio/video equipment, supplies, set-up and take down of tables/chairs and room set-ups and liaise with both security and maintenance contractors to ensure the smooth running of booked events in the centre.

2. Administration     

Provide administrative support to the Economic Development Department. Through liaison with V13 Anchor Tenants and Partners, track, follow-up and maintain up-to-date proof of liability insurance for all tenants. Maintain content for communal TV’s and reception kiosk. Coordinate V13 Board of Partner meeting and other seminars, receptions and functions. Prepare minutes and agendas for meetings as required.

3. Technical    

Ensure web-based platform is up to date and active at all times across all content, calendar, booking and payment systems. Monitor tenant Wi-Fi usage through the portal. Assign and renew Wi-Fi passcodes for users and issue security key fobs for tenants/guests. Assist tenants and facility renters with audio/video & IT support as required.

Promote V13 as a venue of choice for learning and innovation, specifically in relation to securing bookings within the innovation commons lecture hall and seminar rooms. Work with Venture 13 Anchor Tenants, Partners and Town of Cobourg. Communications Department to provide content and actively market V13 to target markets through social media and online portal. Coordinate campaigns for specific events with the Town’s Communications Department and Venture13 Anchor Tenants, Partners communications staff. Maintain V13 Town of Cobourg landing page. Provide tours of the centre for prospective users. Perform other related duties as assigned.

5. Finance  Accounts payable/receivable - invoice partners for incidental charges and organizations for training room/lecture theatre rentals.  Provide input into yearly budget preparations and operating plans. 6. Human Resources In coordination with the Economic Development Officer:  Recruitment, selection, orientation, discipline, training and day-to-day direction of staff reporting directly to this position  Preparation of work/vacation schedules Education/Experience/Skills Training:          

Post-secondary degree or diploma in marketing, business administration, or related education and experience. 2-3 Years marketing/communication and office administration experience. Superior client services skills to meet expected service levels. Exceptional interpersonal and communications skills, both oral and written. Possess tact, diplomacy, creativity and excellent organizational abilities. Intermediate technical skills in setting up computer presentations, microphones and basic IT support. Knowledge and use of Customer Relationship Management (CRM) Software would be an asset. Experience with Microsoft Office Programs including Word, Excel, ACCESS and PowerPoint. The employee must regularly lift, push/pull and/or move tables and chairs up to 10 pounds and occasionally lift and/or move up to 25 pounds. Required to work a flexible schedule including evenings and weekends as required.

This position is a full time 35 hours a week, position governed by the Town of Cobourg NonUnion Policies and Procedures. The salary for this position is $53,500 plus a competitive benefit package.
