When the company’s 17-year old Sage Platinum accounting system was discontinued, the UHH finance team went in search of an ERP solution that could meet its long-term, mission-critical needs. Over the years, they had developed so many Excel workarounds and customizations to Sage that they could no longer efficiently run the business on the software even if they wanted to. The team says that every system upgrade had become perilous as they waited to see if the new version would break their custom accounting processes. Building a Best-in-Class Financial Software Stack UHH worked with consultants from Arxis Technology to select and implement both Intacct’s cloud ERP software and new budgeting and planning software from Adaptive Insights – eliminating several Excel-based processes. The seamless integration between the two systems immediately produced results by removing the need for a full-time team member dedicated to keeping budget and accounting data in sync.

Intacct is also integrated with ADP for payroll and bi-weekly payroll registers. In addition, UHH is in the process of integrating Intacct with Yooz for accounts payable automation. The team says this data sharing enables streamlined workflows that will avoid another full-time headcount and help the company go paperless. In the future, they also expect to connect the ERP system with applications for claims management, billing, and more. In total, this best-in-class technology stack will save the organization upwards of $135,000 each year that it would have spent on additional salaries and benefits. Gaining Insight from Modern, Intuitive Financial Management

Intacct’s general ledger uses dimensions that capture the business context of UHH’s transactions, so they can analyze real-time business performance by various drivers without having to manage a complex chart of accounts. For example, the finance team can easily produce monthly income statements for each independent plan unit, department, or project without having to worry about whether the transactional data spans multiple cost centers, or is rolling up into the right accounts. They can now slice and dice their financials by all kinds of dimensions without having to manipulate the data in Excel. In addition, UHH says it is easy to customize reports in whatever way the organization’s trustees want, including actual income and expenses from Intacct alongside budgeted figures from Adaptive Insights. “With Sage, my staff would have to spend days reconciling differences with other groups to figure out accurate numbers for reporting,” shared Schmidt. “Now with Intacct, we hit a button and it’s done, which means that reports go out to our trustees much faster every month.”
Previously, Sage’s reporting limitations made it time consuming for the UHH finance team to compile, format, and deliver reports to stakeholders across the organization every month.
