We aim to get this to you within 24 hours. Once we have talked through the proposal with you, we arrange venue visits and help you negotiate competitive rates.

We make the venue booking for you.  We then support you through the entire conference planning process, including:

Full Event Management – Delivering Certainty At Destination Southampton, we aim to offer you total certainty of success regardless of the challenges or timescales involved, or how complex the objectives. We have a dedicated and experienced events team who provide efficient project management to ensure a consistently high level of service.  We work in partnership with all the stakeholders, from the initial venue research brief through to the event management and final reconciliation. Our key focus is to ensure the event meets your objectives and exceeds your expectations.  By taking on the management and organisation, we give you more time to dedicate to the content and delivery of the event.

We provide you with a dedicated project manager to oversee every aspect of your event.

Venue MANAGEMENT: During the planning phase, we carry out a site inspection and full risk assessment of the venue, including required health and safety checks.

DELEGATE REGISTRATION: We use our bespoke system to manage delegate registration and the meeting management process, ensuring all stakeholder requirements are met.

TRAVEL ARRANGEMENTS:

We carry out a full review of all logistical and production elements of the event and report back to stakeholders. We can produce a variety of support material for your event, including marketing, joining instructions, badges, agenda packs etc.

We work closely with our clients to guarantee the seamless delivery of the event.  This might begin with the arrival of delegates at the airport through to the delegate flow around a complex program of breakout groups, all other meeting related activities, private dinners and partner programmes.

We work with our travel partners to recommend the most appropriate travel arrangements, including costs.

Southampton has a great reputation for welcoming visitors from all over the world and as a major international port, you will see massive container vessels entering and leaving daily. The Port of Southampton is home to the UK’s largest container terminal handling around 39 million tonnes each year. The skyline is currently punctuated with cranes helping to create prestigious new developments in the city. They are part of a £3 billion package of investment that will be coming to the city between now and 2030 creating 24,000 jobs. A stunning £40 million arts complex is under construction in the city’s Cultural Quarter. This world class visitor attraction will complement the existing theatres and galleries and bring an auditoria, studio, creation space, contemporary art gallery, accommodation and up to 7 restaurants. At Ocean Village a £74 million scheme at Admirals Quay has resulted in the development of Southampton’s tallest residential building. Hammerson’s WestQuay Shopping Centre, which receives 17 million visitors a year, will see £90 million of investment going into the adjacent Watermark WestQuay development. It will include a landmark cinema building, 20 new restaurants, new retail and public realm. And in the future Royal Pier Waterfront will be one of the finest waterfront developments in Europe. The £400 million regeneration scheme will see more than 500 new homes, a variety of restaurants, cafes and bars, a hotel and potentially one of only eight large casinos in the UK. Southampton is the major commercial centre in the Solent region and on our doorstep we have the natural beauty of the New Forest to the West and centuries of Royal Naval history in Portsmouth.

2015 Case Studies SCONUL Conference & AGM – JULY 2015 The client required a large, self-sufficient meeting space with onsite accommodation for delegates. They requested easy access via transport links plus a unique venue for their offsite drinks reception and conference dinner. Attendees: 160 delegates from across the UK & Ireland Purpose: Open to SCONUL members, the two day conference & AGM considered the future for academic libraries and highlighted changes and challenges relevant to the society members. Conference Venue: The Grand Harbour Hotel, Southampton Conference Dinner: The Domus, Beaulieu Planning: The event planning process took over 10 months including venue research and negotiations, conference dinner locations, associated logistics, and accommodation options. Destination Southampton were able to work with the client and local suppliers to deliver additional support such as conference AV and transport. Tourist information was also provided for the organisers to equip their delegates with local knowledge.

RICS Property and Construction Dinner - Hampshire and Isle of Wight – January 2015 RICS required a suitable venue for their Annual Property and Construction Dinner. They requested easy access via transport links for the delegates. Attendees: 150 delegates from the property and construction industry. Purpose: Networking dinner & entertainment from after dinner speaker, Geoff Miller. Conference Dinner: The Ageas Bowl Planning: The event planning process took approximately 12 months including venue research and negotiation. Destination Southampton were able to work with the client and local suppliers to deliver a highly successful event.

From here the team will be provided with a list of build regulations that must be adhered to - the rest is up to your team’s ingenuity and creativity.

We have carefully designed our Crystal Maze events to replicate this popular 90s game show, and we can also throw in our very own Richard O’Brien for good measure. Our Crystal Maze events promote teamwork and leadership amongst your group and are an ideal way to get everyone out of the office and enjoying themselves. Getting to Southampton Southampton & the Solent is conveniently served by impressive transport links by road, rail, sea and air. By Air: Southampton International Airport is one of the leading airports in central-southern England, serving many UK and Europe destinations, with onward connections worldwide. The airports’ one terminal, sees over 1 million passengers a year flying to 33 destinations. It is located on the outskirts of the city with easy access from the M27 and M3, as well as to Southampton Airport Parkway train station. www.southamptonairport.com

By Rail: Southampton Central rail station is served by direct trains to and from many cities across the country, including London, Birmingham, Oxford, Bristol, Leeds, Brighton and Manchester. London Waterloo is a 1 hour 20 minutes journey to Southampton Central, passing Southampton Airport Parkway on the way and the local rail network services many suburbs and towns on the periphery of the city. By Ferry: There are two Red Funnel ferry services to and from the Isle of Wight departing from Town Quay; a high speed service for foot passengers and a ferry for vehicles, cyclists and foot passengers. www.redfunnel.co.uk A half hourly foot passengers and cyclists

service to Hythe also leaves from Town Quay. Cross channel ferry services, Brittany Ferries and LD Lines, operate from the nearby port of Portsmouth, offering fast and regular crossings from France and the Channel Islands. Southampton is the cruise industry capital of Europe, with ships from P&O, Princess and Cunard cruises setting off on their luxury world voyages from Southampton’s port.

By Road: Southampton is approximately 79 miles from Central London. From the North, London and the Home Counties, the M3, M27 and A34 provide fast, direct road links into the city centre. The A36 is the major route from the West Country, Bristol and Wales. From the East, follow the A27/M27 and depart at Junction 8. National Express coaches pick up at Southampton Cruise Terminal, the University of Southampton and the main coach station at Western Esplanade. The new venue will provide more interactive spaces for meetings and events including the building’s impressive central atrium which can hold up to 400 for a reception, two subterranean lecture theatres with capacities of 150-200, conference suites that can hold up to 100 in each and a VIP dining experience.
