WebEx Joining a Session

Introduction There are two main methods for joining to audio in a WebEx session. The first is using Voice Over Internet Protocol (VOIP). The second is via teleconference using your own telephone. This document will show you how to connect to sessions using both methods as well as utilizing your webcam to connect to video.

Joining a Session You will receive a message in your Email Inbox inviting you to the training session. Open the message from your host or instructor and click the session link under To join the online meeting. A web browser will open.

WebEx: Joining a Session To join the meeting, enter Your name and Email address and then click the green Join button.

If you are a first time user of WebEx, you must add WebEx to your browser. On Towson University machines, this requires an admin account or the use of TCAR (www.towson.edu/tcar). To bypass that process, click the Run a temporary application link at the bottom of the page. The temporary application will download. Note: Installing the Cisco WebEx Meeting Center via the Software Center on your TU-owned machine prior to joining a session is also an option. If you are adding WebEx software to your personal machine, click the Add WebEx button and follow the prompts.

WebEx: Joining a Session Locate the downloaded file and double click on it. An Open File - Security Warning will appear. Click the Run button.

The WebEx Meeting Center will open to the Audio and Video Connection window.

Joining a Session Using VoIP When you join a session, you will be prompted to set up your speaker/microphone. This step is crucial. This process should start automatically the first and possibly the second time you enter WebEx or when you plug-in a new device. You must complete these steps before joining the VoIP session. Select the Call Using Computer option from the Select Audio Connection drop-down menu.

WebEx: Joining a Session To perform a microphone and speaker test, click the gear icon beside the Select Audio Connection drop-down menu.

In the Computer Audio Settings window, select your preferred audio device from the Speaker drop-down menu for playback. To test the speaker audio, click the Test button beside the Speaker drop-down menu. Use the slider to turn the sound up or down. Be sure to select the correct device. This step is critical. If you cannot hear any sound, select another device. If you still cannot hear sound, you may have a hardware issue.

Select your preferred microphone from the Microphone drop-down menu. Begin to speak into the microphone. The vertical bars beneath your microphone selection should turn blue as you speak. If there is no activity, check your audio connections or change the selected microphone. You may use the slider to adjust your microphone input or place a check in the box beside the Automatically adjust volume option. When you are comfortable with the volume setting, click OK.

When you are ready to connect to the meeting, click the Connect Audio and Video button.

Joining a Session by Phone If you do not have a microphone, there is an option to join the session via telephone. Note: The toll-free call-in option is not available for students. In the Audio and Video Connection window, select one of the following options from the Select Audio Connection drop-down menu: a.

Call Me – You will be prompted for your phone number. Once you have finished setting up your Audio and Video Connection, you will receive a phone call from WebEx joining you to the session audio.

I Will Call In – Selecting this option will give you toll-free and toll number to use. Dial one of the numbers and follow the voice prompts for your access code and Attendee ID numbers.

Once you have joined the audio via your phone, you may click Start My Video or the Skip link.

Joining a Session with Video In the Audio and Video Connection window, you have the option to use your webcam during the session. 1. Beneath the Select Video Connection header, choose your webcam from the drop-down menu. A preview of your camera will appear.

Note: If you do not want to utilize the webcam option, select No Video from the drop-down menu.

WebEx: Joining a Session 2. Depending on which audio and video option you choose, click either the Connect Audio and Video, Connect Audio, Start My Video or Close button at the bottom of the Audio and Video Connection window.
